RJ EPISODES in Bali is seeking an Executive Assistant to provide direct administrative and operational support to the Company Director. You will manage documents, calendar, communications, and coordinate with external organizations, including government agencies on island.
The role requires at least two years of relevant experience, fluency in English and Bahasa Indonesia, strong MS Office and Google Workspace skills, and the ability to multitask and work independently while visiting government
We are looking for a highly organized, responsible, and proactive Executive Assistant to provide direct administrative and operational support to the Company Director. This role involves document management, coordinating the Director's schedule and assignments, communicating with external organizations, and making regular business-related visits to government agencies and public service offices.
Provide daily administrative and operational support to the Director.
Manage incoming and outgoing documents, correspondence, contracts, invoices, and company records.
Organize and maintain physical and digital filing systems.
Manage the Director's calendar, appointments, meetings, and daily priorities.
Track assignments, deadlines, and follow-ups to ensure that tasks are completed on time.
Prepare letters, forms, reports, presentations, and other business documents.
Communicate with clients, partners, vendors, consultants, and government representatives.
Visit government agencies and public service offices, including BPJS, tax offices, immigration offices, banks, notaries, and other relevant institutions, to submit, process, or collect documents.
Coordinate meetings, prepare agendas, take meeting notes, and follow up on agreed actions.
Assist with business-related errands and special assignments from the Director.
Minimum two years of relevant experience as an Executive Assistant, Personal Assistant, Secretary, Administrative Assistant, General Affairs Officer, or in a similar position.
Good command of spoken and written English.
Fluency in Bahasa Indonesia.
Strong administrative and document-management skills.
Proficiency in Microsoft Word, Microsoft Excel, Google Docs, Google Sheets, and Google Drive.
Excellent organizational, communication, and time-management skills.
Proactive, reliable, detail-oriented, and able to work independently.
Comfortable communicating with government agencies and handling official administrative procedures.
Able to manage multiple assignments and changing priorities.
Based in Bali and available for regular business-related visits around the island.
