PT NIAGA NUSANTARA INTERNASIONAL is seeking an Executive Assistant to support senior leadership in Jakarta. The role involves managing schedules, preparing documents, and coordinating meetings and travel with meticulous attention to detail.
The candidate should be fluent in Mandarin and Indonesian, with English as a plus, and have 1–2 years of corporate PA experience. Proficiency in MS Office and collaboration tools is required.
Manage executive schedules, including scheduling meetings, coordinating calendars, and arranging logistics to ensure efficient use of time.
Prepare meeting documentation and materials, reports, and presentations accurately and professionally.
Handle written and oral communication in Mandarin and English, including business correspondence and negotiations.
Manage files, databases, and information systems in an organized and secure manner in accordance with company standards.
Organize and execute business events, corporate travel, and meetings with flawless attention to detail.
Coordinate with various departments to ensure smooth operations and meet deadlines.
Filter important information and present relevant summaries to executives to support decision-making.
Perform other administrative tasks in accordance with the organization’s priorities and needs.
Qualifications
Minimum education requirement: a bachelor’s degree; preference will be given to candidates with a degree in Administration, Chinese Literature, or a related field.
At least 1–2 years of experience as an Executive Assistant, Personal Assistant, or in a related administrative role in a corporate setting.
Fluency in Mandarin (spoken and written) at a professional level; strong proficiency in Indonesian is also required; English proficiency is a plus.
Proficiency in standard office applications such as the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other digital collaboration tools.
Superior organizational and time-management skills, with the ability to handle multiple tasks simultaneously.
Excellent interpersonal communication skills and the ability to adapt to various leadership styles.
Knowledge of international business protocols and Chinese culture will provide a competitive advantage.
Experience in travel coordination and event management is a plus.
High level of discretion and integrity in handling sensitive and confidential company information.
