Job summary

PT Pico TBA Indonesia seeks an experienced Operations Lead to oversee on-site technical event operations from build to breakdown. You will coordinate with contractors, venue management, and internal teams to ensure flawless execution that aligns with design specs and masterplans.

The role requires 2–3 years in exhibition contracting or EO, strong leadership, and fluency in English and Indonesian. Expect travel for out-of-town projects and non-standard hours.

Qualifications

  • 2–3 years of experience in exhibition contracting, EO, or experiential marketing.
  • Proven track record as an Operation Lead, Site Coordinator, or Field Supervisor for medium to large exhibitions.
  • Fluent English (written and spoken) and native Indonesian.

Responsibilities

  • Oversee and lead all technical event operations on-site, including prep, live days, and dismantling.
  • Develop and manage build schedules, timelines and operational rundowns.
  • Coordinate with contractors, vendors (AV, lighting, structure, graphics) and venues on permits and logistics.
  • Collaborate with Creative/Design, Account Management and PMs to meet client specs.
  • Perform quality control inspections of booth structures, finishing and materials.
  • Enforce adherence to HSE standards and venue rules.
  • Troubleshoot and resolve on-site technical issues in real time.
  • Monitor delivery, storage and inventory of event materials to prevent loss.
  • Control and manage on-site expenses to stay within budget.
  • Prepare post-event evaluation reports including inventory and vendor notes.

Job description

Oversee and lead all technical event operations on-site, spanning preparation, set-up, live event days, and dismantling. Ensure booth construction, staging, lighting, sound systems, AV, and layouts strictly adhere to design specs and masterplans.

Key responsibilities

Develop and manage operational schedules, including build-up/dismantle timelines and operational rundowns

Coordinate extensively with contractors, technical vendors (AV, lighting, structural, graphics), and venue management regarding work permits, logistics flow, and power/facility provisions

Collaborate closely with Creative/Design, Account Management, and Project Managers to ensure client expectations are met technically

Perform thorough quality control inspections on booth structures, finishing, and materials prior to event launch

Enforce adherence to occupational health and safety (HSE) standards as well as venue-specific rules

Swiftly troubleshoot and resolve unforeseen technical issues on-site

Monitor the delivery, storage, and inventory tracking of event materials to prevent loss or damage

Control and manage operational expenses to ensure on-site budget efficiency

Prepare post-event operational evaluation reports, including inventory reconciliations and vendor performance notes

Work Experience:

At least 2–3 years of experience in exhibition contracting, event organization (EO), or experiential marketing.

Proven track record as an Operation Lead, Site Coordinator, or Field Supervisor for medium- to large-scale exhibitions.

Technical Skills & Languages:

Ability to read and interpret working drawings (2D/3D blueprints; basic CAD/SketchUp knowledge is a plus).

Solid understanding of exhibition materials (timber/MDF, metalwork, lighting, graphic prints, electrical setups).

Professional fluency in English (both written and spoken) and native proficiency in Indonesian.

Strong leadership, decision-making, and real-time problem-solving skills under high-pressure conditions.

Excellent communication and negotiation skills when dealing with vendors, venues, and clients.

Flexibility to work non-standard hours, including late shifts, weekends, and travel for out-of-town projects.
