Dragon Sourcing Group Ltd is looking for a capable, organized, and highly self-motivated Personal Assistant to provide comprehensive executive and operational support directly to the Chief Executive Officer.
This role serves as the central administrative hub for the CEO, managing executive scheduling, international travel logistics, confidential correspondence, and cross-border business coordination connected with operations in Europe and Asia.
The successful candidate will work independently in Hong Kong, coordinating closely with the CEO and overseas colleagues across different time zones. For this reason, we are looking for someone who is comfortable managing their own workload, exercising high discretion, and following executive priorities through from beginning to completion without requiring constant supervision.
This is a dedicated executive support position focusing on proactive diary management, high-level administrative coordination, document preparation, and confidential executive assistance.
Manage the CEO's dynamic calendar across multiple time zones, screening meeting requests and coordinating internal and external appointments.
Coordinate end-to-end international travel itineraries, including flights, accommodation, visa arrangements, and ground transportation.
Serve as a key communication link between the CEO and overseas colleagues, clients, suppliers, and partners across European and Asian operations.
Prepare and format executive correspondence, presentations, reports, and spreadsheets; maintain meticulous document control and confidential record-keeping.
Screen incoming inquiries, track CEO action items and deadlines, and follow matters through to ensure nothing falls through the cracks.
Identify scheduling conflicts or operational bottlenecks early, taking the initiative to resolve them independently and keeping the CEO updated.
Assist with ad-hoc personal administrative matters and expense reconciliation to optimize the CEO's daily efficiency.
Approximately 2–5 years of experience in a Personal Assistant, Executive Assistant, or senior administrative coordination role.
Formal qualifications in business administration, commerce, or a related discipline are welcome, though practical experience, maturity, proactive attitude, and independent judgment are equally valued.
Highly organized, accurate, and attentive to detail.
Self-motivated, discreet, and comfortable working independently.
Able to manage daily priorities and multitask under limited supervision.
Proactive with a strong sense of ownership and accountability.
Comfortable acting as the CEO's primary Hong Kong support anchor while coordinating with international offices.
Reliable, mature, and capable of working effectively without a large local office structure.
A clear, professional communicator by email and telephone across diverse cultures.
Competent in Microsoft Excel, Word, Outlook, and general office systems.
Good written and spoken English is essential; fluency in Cantonese and/or Mandarin is an advantage.
Previous exposure to sourcing, trading, procurement, or international supply-chain environments is advantageous.
