Charlotte Frank Limited in Hong Kong seeks an experienced Executive Assistant/Personal Assistant to support the Director. You will manage the Director's calendar, coordinate complex travel, and handle personal and business itineraries with discretion.
You will prepare correspondence, assist with visa applications, and arrange events, liaising with vendors and partners. Fluency in English, Cantonese, and Mandarin is required, with strong MS Office skills and the ability to work under pressure.
Oversee the Director's daily calendar, business schedules, and personal itineraries
Arrange complex domestic and international travel itineraries, including flights, accommodation, visas, and ground transportation
Organize and execute personal and public events, including guest relations, material preparation, and vendor/event logistics
Assist with visa applications, passport renewals, medical appointments, and insurance claims.
Support family events and private gatherings as needed.
Provide comprehensive executive support to the Director, balancing business operations, stakeholder communication, and family/personal matters.
Handle business correspondence, draft client emails, and assist with translation during client meetings and negotiations.
Support ad-hoc business projects as needed.
Qualifications & Requirements
Minimum 8 years of experience in a combined EA/PA or similar dual-support role.
Experience supporting C-level executives and their families is highly preferred.
Prior experience in a fast-paced, multinational, or family office environment is an advantage.
Excellent organizational and time management skills, with the ability to prioritize and multitask.
Strong written and verbal communication skills in English, Cantonese, and Mandarin (fluency required).
High level of discretion, confidentiality, and trustworthiness.
Proactive, resourceful, and able to anticipate needs.
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and scheduling tools.
Ability to work independently and remain calm under pressure.
Flexible and adaptable to changing schedules and last-minute requests.
