MCL Financial Group is a premier Hong Kong-based financial services and merchant banking firm founded in 1998, specializing in private equity, real estate, capital markets, fund set-ups, and family office services. To support our expanding executive operations, we are seeking a dedicated, highly organized professional to join our Managing Director's office.
Position Overview
This multi-faceted role combines executive assistance, office administration, and end-to-end execution of special projects. The successful candidate will act as a trusted operational partner to our senior leadership team, ensuring seamless executive workflows, managing vendor relationships, coordinating event logistics, and providing discreet personal administrative support.
Primary Responsibilities:
Executive Support & Office Administration
- Manage complex calendars, schedule meetings, arrange catering, prepare pre-meeting materials, and handle visitor reception
- Screen, draft, distribute, and track executive correspondence (calls, emails, mail) and handle document archiving
- Establish daily office administrative systems and perform research, filing, and occasional outdoor duties as required
- Collaborate effectively with executive assistants, senior leadership, and corporate service teams to resolve operational issues proactively
Special Projects & Event Coordination
- Own day-to-day management and execution for special projects, operational efficiency enhancements, and property renovation initiatives
- Plan and execute business development activities, corporate functions, and private social events (including but not limited to dinner parties and cocktail receptions)
- Oversee administrative renewals and fee payments for exclusive private members' clubs, professional networks, and executive affiliations
- Provide personal secretarial support to senior management and family members as assigned
- Coordinate travel logistics, company driver schedules, vehicle maintenance, licensing, and insurance renewals
- Source, quote, and benchmark prices for office, household, and contractor purchases
Requirements:
- 3 years or above relevant experience as a PA, EA, or Project Coordinator supporting C-level executives or Managing Directors within Family Office, Private Wealth, Finance, Real Estate, or MNC environments
- Experience supporting UHNW individuals or managing luxury lifestyle assets and exclusive private members' clubs is a distinct advantage
- Post-secondary qualifications in Business Administration, Communications, or a related discipline
- Excellent command of written and spoken English, Cantonese, and Mandarin
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace
- Detail-oriented team player with a fiduciary mindset, strong problem-solving skills, and absolute discretion
- Immediate or short-notice availability is highly preferred
