COI Communications Ltd. in Hong Kong seeks an Event Coordinator to assist the Project Manager in planning and executing luxury and lifestyle events. You will manage brand pop-ups, talent bookings, photography, and entertainment activations, ensuring seamless execution and exceptional client experiences.

The role emphasizes storytelling, vendor liaison, and meticulous logistics. Strong English communication is required; Cantonese/Mandarin a plus.

Qualifications

  • Fresh graduates with a passion for events, communications, or entertainment marketing are welcome (0–2 years of relevant experience or internships in luxury/lifestyle is a plus).
  • Strong initiative in vendor sourcing, procurement, and problem-solving, with high attention to detail.
  • Calm and adaptable when managing tight deadlines and fast-paced live event environments.
  • Passionate about storytelling, talent coordination, entertainment trends and social media.
  • Excellent communication skills in English; proficiency in Cantonese and/or Mandarin is a plus.
  • Proactive team player eager to learn in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Willingness to work flexible hours and adapt to different time zones as needed.
  • Experience working with luxury or lifestyle brands.
  • Familiarity with event production, talent management, and creative storytelling.
  • Available immediately or within short notice is highly preferred.

Responsibilities

  • Support the Project Managers in planning and execution of creative events, including brand pop-ups, talent bookings, photography, and entertainment activations.
  • Coordinate, source, and work with vendors, suppliers, and production partners (e.g., event props, AV, staging, print production, floral arrangements).
  • Assist in developing creative pitches and storytelling concepts that align with client objectives and brand messaging.
  • Coordinate with vendors, talent agencies, and production teams to ensure seamless execution of events and activations.
  • Manage logistics for events, including celebrity/KOL bookings, catering, floral arrangements, and on-site coordination.
  • Assist in monitoring project timelines, budgets, and deliverables, providing regular updates to the Project Managers.
  • Maintain clear communication with clients, vendors, and internal teams throughout the project lifecycle.
  • Organize manpower and host/hostess bookings, including vetting, training, and contact management.
  • Support in preparing event documentation, including contracts, budgets, and production schedules.
  • Assist in troubleshooting and resolving event-related issues, escalating to the Project Managers when necessary.

About the role:

The Event Coordinator will support the Project Manager in planning and executing creative and experiential projects for luxury and lifestyle clients.
