Job summary

Kohle Services Limited is seeking an organised, proactive Event & Marketing Executive to support KCM Trade’s local and international events.

The successful candidate will coordinate events from planning to on-site execution and post-event evaluation, collaborating with internal teams, regional offices, vendors and partners, and using AI tools to boost productivity and planning efficiency.

Qualifications

  • 2–4 years of experience in event management, marketing events, exhibitions or related roles.
  • Proven experience managing events from planning through execution.
  • Strong organisational and project management skills.
  • Excellent attention to detail and ability to manage multiple deadlines.
  • Strong communication and stakeholder management skills.
  • Experience working with event vendors, production companies and venues.

Responsibilities

  • Plan and coordinate corporate events, seminars, exhibitions, client engagement activities, networking events and other marketing events.
  • Develop event timelines, checklists, run sheets and execution plans.
  • Coordinate event venues, catering, production, logistics, transportation and other operational arrangements.
  • Support event set-up, on-site execution and post-event dismantling.
  • Ensure all event activities are delivered according to schedule, budget and brand standards.
  • Source and communicate with event vendors, production companies, venues, printers and other external suppliers.
  • Obtain and compare quotations and support budget control.
  • Coordinate production of event materials, including backdrops, roll-up banners, brochures, gifts, signage and other promotional materials.
  • Follow up closely with suppliers to ensure all materials are delivered accurately and on time.
  • Prepare clear event briefs and communicate requirements to relevant stakeholders.
  • Coordinate speakers, presentation materials, event agendas and other event-related content.
  • Maintain regular progress updates and highlight potential risks or delays to the Marketing Manager.
  • Support the development of event promotional materials, including social media posts, posters, invitations, email communications and website content.
  • Coordinate pre-event, during-event and post-event marketing activities.
  • Work with content and creative teams to collect event photos, videos and other marketing assets.
  • Use AI tools to support event research, planning, content development, reporting and day-to-day marketing tasks.
  • Apply AI tools to improve working efficiency, including drafting event briefs, timelines, presentation materials, summaries and post-event reports.
  • Use AI to conduct initial market, competitor, venue and event research where appropriate.
  • Explore new AI tools and workflows that can improve event planning, marketing execution and team productivity.
  • Ensure AI-generated materials are reviewed for accuracy, brand consistency and suitability before use.
  • Prepare and maintain event budgets and expense records.
  • Process quotations, invoices, purchase requests and vendor payments.
  • Maintain organised records of event contracts, supplier information, event materials and logistics arrangements.
  • Collect event data and feedback after each event.
  • Prepare post-event reports covering attendance, leads, client engagement, media/content performance, costs and key outcomes.
  • Identify areas for improvement and provide recommendations for future events.
  • Maintain an annual event calendar and event performance records.

Job description

We are looking for an organised, proactive and hands‑on Event & Marketing Executive to support the planning and execution of KCM Trade’s local and international events.

The successful candidate will be responsible for coordinating events from initial planning through to on‑site execution and post‑event evaluation, working closely with internal teams, regional offices, external vendors and event partners.

This role is suitable for someone who is detail‑oriented, comfortable managing multiple projects and deadlines, and has strong event coordination and communication skills. The candidate should also be comfortable using AI tools to improve productivity, research, content development and event planning efficiency.

Key Responsibilities
1. Event Planning & Execution
  • Plan and coordinate corporate events, seminars, exhibitions, client engagement activities, networking events and other marketing events.
  • Develop event timelines, checklists, run sheets and execution plans.
  • Coordinate event venues, catering, production, logistics, transportation and other operational arrangements.
  • Support event set‑up, on‑site execution and post‑event dismantling.
  • Ensure all event activities are delivered according to schedule, budget and brand standards.

3. Internal Coordination
  • Work closely with Marketing, Design, Content, Video, Sales, PR and regional teams to coordinate event requirements.
  • Prepare clear event briefs and communicate requirements to relevant stakeholders.
  • Coordinate speakers, presentation materials, event agendas and other event‑related content.
  • Maintain regular progress updates and highlight potential risks or delays to the Marketing Manager.
4. Event Marketing & Promotion
  • Support the development of event promotional materials, including social media posts, posters, invitations, email communications and website content.
  • Coordinate pre‑event, during‑event and post‑event marketing activities.
  • Work with content and creative teams to collect event photos, videos and other marketing assets.
5. AI & Productivity Tools
  • Use AI tools to support event research, planning, content development, reporting and day‑to‑day marketing tasks.

  • Maintain an annual event calendar and event performance records.
Requirements
  • 2–4 years of experience in event management, marketing events, exhibitions, conferences or related roles.
  • Proven experience managing events from planning through execution.
  • Strong organisational and project management skills.
  • Excellent attention to detail and ability to manage multiple deadlines simultaneously.
  • Strong communication and stakeholder management skills.
  • Experience working with event vendors, production companies and venues.
  • Comfortable working independently and taking ownership of projects.
  • Proficient in using AI tools such as ChatGPT or similar platforms for research, planning, content creation, reporting and productivity enhancement.
  • Ability to integrate AI tools into daily workflows and use them effectively to improve work quality and efficiency.
  • Language Skills: Excellent written and spoken communication skills in English and Chinese (Mandarin); fluency in Cantonese is a plus.
  • Willing to travel and work outside normal office hours when required for events.
Preferred Qualifications
  • Experience in the financial services, fintech, forex, brokerage or related industries is an advantage.
  • Experience organising overseas events or managing events across multiple markets.
  • Experience with exhibitions, seminars, client events or partner/IB events.
  • Basic understanding of digital marketing, social media and event promotion.
  • Experience using project management tools such as Asana, Trello or similar platforms.
  • Strong interest in AI, automation and emerging marketing technologies.
  • Experience using AI for presentations, event proposals, research, data summaries or marketing content is an advantage.
