Chiho Environmental Group Limited in Hong Kong seeks an experienced Executive Assistant to provide full-spectrum secretarial and administrative support at the executive level, including calendar management, meeting coordination, and travel arrangements.
You will follow up on the day-to-day work across finance, internal control, human resources and administration; compile reports and materials for management and operations meetings; draft minutes and official correspondence while maintaining
Provide full-spectrum secretarial and administrative support at executive level, including calendar management, meeting coordination, travel arrangements and business liaison, etc.
Follow up on the day-to-day work of the four core functions: finance, internal control, human resources and administration, including consolidating updates, tracking progress, chasing outstanding items and ensuring void matters are closed out.
Compile and organise operational data, reports and supporting materials, and assist in preparing documents for management and operations meetings.
Independently draft and maintain meeting minutes, work reports, special-topic presentations, rectification registers and official correspondence.
Assist in reviewing internal control processes, implementing policies, rectifying issues and preparing audit and compliance documentation.
Liaise with business departments to coordinate special projects, facilitate cross-department collaboration and follow up on key matters with timely feedback.
Maintain executive documents, materials, archives and registers in a standardised manner, with strict observance of confidentiality.
Support ad hoc projects and any other duties assigned by the Executive Director and senior Management.
Bachelor’s degree or above, major in Finance, Accounting or Business Administration is preferred.
1–3 years’ relevant experience as an Executive Assistant in a Director’s office, or in a finance assistant, internal control or administration role; Group or Listed-Company experience is preferred.
Strong writing skills, with the ability to independently prepare minutes, summaries and reporting materials in a clear and well-structured manner.
Familiar with basic finance and internal control workflows, with solid data organisation and consolidation skills.
Proficient in MS Office, with strengths in maintaining registers, compiling statistics and producing PowerPoint reports.
Able to work well under pressure; strong execution, meticulous, proactive and highly responsible, with an acute sense of confidentiality.
Excellent communication and coordination skills, able to drive cross-department matters to completion efficiently.
