TAL Apparel, a leading Hong Kong garment company established in 1947, seeks an Administration Executive to streamline office operations and facilities management. The role covers budgeting, renovation projects, vendor coordination, travel support, and internal system administration.

You will collaborate with colleagues across the Hong Kong office and other sites, ensuring smooth day-to-day operations while driving cost-efficiency and workplace improvements.

Qualifications

  • Bachelor’s degree or above in any discipline.
  • At least 5 years of relevant work experience in administration, office or facilities management.
  • Experience in office renovation and/or relocation projects is an advantage.
  • Strong planning, organizational and coordination skills.

Responsibilities

  • Support daily office administration and facilities operations, including maintenance, equipment, stationery and access-card management.
  • Manage external vendors and service providers, including quotations, contracts and performance evaluation.
  • Assist with administration budget preparation, expense monitoring and cost-control initiatives.
  • Support office renovation, relocation and workplace improvement projects from planning through completion.
  • Coordinate project requirements, budgets, timelines and logistics with contractors, suppliers and internal stakeholders.
  • Support planning and execution of corporate events and employee activities (Annual Dinner, Christmas celebration, etc.).
  • Coordinate event arrangements: venues, production vendors, accommodation, transportation, prizes, guest management and on-site logistics.
  • Provide travel and accommodation administration support, including Travel Policy matters and corporate hotel arrangements.
  • Support company vehicle and transportation arrangements.
  • Administer internal systems and platforms (T&E and Library) for day-to-day operations.
  • Collaborate with Hong Kong office and other sites on administration and travel-related matters.
  • Undertake other administration projects and ad hoc assignments.

Job description

The Administration Executive is responsible for supporting the smooth and efficient operation of the Hong Kong office, covering office administration, facilities management, vendor coordination, travel and accommodation support, internal systems, company vehicles and employee services. The role also assists with administration budgeting and cost control, as well as office renovation, relocation and workplace improvement projects.

Key Responsibilities
  • Support the smooth operation of daily office administration and facilities, including office maintenance, cleaning, equipment, telephone systems, stationery and access-card management.

  • Manage external vendors and service providers, including quotations, service arrangements, contracts and performance evaluation.

  • Assist with administration budget preparation, expense monitoring and cost-control initiatives.

  • Support office renovation, relocation and workplace improvement projects from planning through completion.

  • Coordinate project requirements, quotations, budgets, timelines and logistics with contractors, suppliers and internal stakeholders, and monitor progress to ensure agreed requirements are met.

  • Support the planning and execution of corporate events and employee activities, including the Annual Dinner, Christmas celebration and other staff programs.

  • Coordinate event arrangements, including venues, production vendors, accommodation, transportation, prizes, awards, guest management and on-site logistics.

  • Provide travel and accommodation administration support, including Travel Policy matters, corporate hotel arrangements, business travel insurance and company apartment management.

  • Support company vehicle and transportation arrangements.

  • Administer internal systems and platforms, including T&E and Library systems, ensuring accurate information and smooth day-to-day operations.

  • Work closely with colleagues in the Hong Kong office and coordinate with other sites on administration and travel-related matters as required.

  • Undertake other administration projects and ad hoc assignments as assigned.

Required Experience and Skills
  • Bachelor’s degree or above in any discipline.

  • At least 5 years of relevant work experience, preferably in administration, office or facilities management, or a related field. Candidates from other functions, such as merchandising, with strong transferable coordination and project management experience are also welcome.

  • Experience in office renovation and/or relocation projects is an advantage.

  • Strong planning, organizational and coordination skills, with the ability to manage multiple priorities and follow through on details.

  • Hands-on and proactive team player who takes ownership and is committed to delivering results.

  • Strong interpersonal and communication skills, with the ability to work effectively with internal and external stakeholders.

  • Detail-oriented, responsible and dependable, with a strong sense of accountability.

  • Responsive, resourceful and adaptable, with the ability to handle unexpected situations and changing requirements.

  • Good command of written and spoken English and Chinese.

  • Proficient in Microsoft Office, including Word, Excel and PowerPoint.
