Swire Resources Limited is seeking an experienced administrator to manage day-to-day general administration for office premises and retail shops across Hong Kong and Macau. The role requires independent work, supervision of support staff, and collaboration with internal and external stakeholders to ensure smooth operations.

Reporting to the Senior Sustainability and Administrative Manager, the incumbent is responsible for managing the day-to-day general administration of office premises and retail shops across Hong Kong and Macau. This role requires a proactive and experienced administrator who can work independently to oversee daily administrative operations, supervise operational support staff, contribute to budgeting and policy formulation, and maintain smooth business continuity through effective follow-up, service oversight, and collaboration with internal and external stakeholders.
Stakeholder Coordination – Oversee the full spectrum of office and shop administration functions, working closely with stakeholders across departments to ensure smooth business and daily operations.
Operational Supervision – Independently supervise and manage the daily work of operational support staff, including the Receptionist, Cleaners, Drivers, and Admin Assistant, to ensure the smooth delivery of office administration services such as reception and courier services, company car and fixed asset administration, office facilities, repair and maintenance, and procurement support. Provide day-to-day guidance, allocate work, monitor service standards and attendance, and contribute to performance appraisal and development feedback for the staff under supervision. Provide occasional hands‑on support at the reception desk during staff absences when needed to maintain service continuity.
Policy & Procedure Development – Review, draft, and refine administration policies, guidelines, and procedures, and recommend practical improvements to enhance efficiency, compliance, and service quality across the organisation.
Budget & Expense Control – Monitor administrative expenses, manage petty cash, prepare and consolidate the annual administrative budget, and provide regular analysis and recommendations on cost optimisation and resource allocation.
Facilities & Vendor Coordination – Take ownership of day-to-day workplace administration matters across office and retail shop locations, including coordinating with service vendors and suppliers, following up on statutory licence renewals, and overseeing the administration of imported labour staff accommodation, such as lease renewals, negotiations, and day-to-day coordination.
Project Coordination – Coordinate renovation and office fitting‑out projects as required, following up on timelines, service quality, and operational arrangements to minimise business disruption.
Event & Committee Support – Serve as an active working committee member to support key company events and initiatives, such as Sustainability programmes, Annual Dinner, festive celebrations, departmental outings, staff engagement activities, and more.
Ad‑hoc Support – Provide flexible support for other duties as assigned, contributing to the smooth running of the administration function and willing to work on weekends when required to support company events, renovation projects, or urgent operational needs.
Education & Experience – Tertiary educated with a minimum of5 years' solid experiencein general office administration, preferably within theretail industry.
Project Exposure – Prior involvement inrenovation or office fitting‑out projectswill be considered a distinct advantage.
Core Competencies – Ahands‑onandcustomer‑centricprofessional with akeen eye for detail, stronginterpersonal skills, and the ability to communicate effectively with stakeholders at all levels.
