Main purpose of job:

Based in the Department for Business and Trade at the British Consulate in New York you will lead and manage the Executive Office of Her Majesty's Trade Commissioner (HMTC) for North America and Consul General (CG) to New York, Oliver Christian. Your primary role is to support and enable him and the senior leadership team to deliver the strategy and priorities of both the North America Trade and Investment Network and the British Consulate in New York.

In addition to the HMTC / CG, the Executive Office supports the Deputy Trade Commissioner for North America, the Deputy Consul General for New York, and the wider Senior Leadership Teams of the British Consulate New York and the Senior Leadership Team of the Department of Business and Trade, North America.

The Head of the Executive Office ensures the day-to-day operations of the executive office run smoothly, facilitating effective communication and organizational efficiency. This position involves a blend of administrative support and leadership within the office environment, aiming to optimize workflow and support senior management in achieving organizational goals. By overseeing administrative staff, managing schedules, and coordinating meetings, the Head of the Executive Office ensures that the executive team can focus on strategic decisions and impactful delivery without being bogged down by operational details. This role requires a unique combination of discretion, organizational skills, and the ability to manage multiple tasks simultaneously, serving as the backbone of the executive office's functionality.

To do this role successfully, you will need to have excellent relationships with multiple internal stakeholders - including at senior levels - to ensure that you are well plugged in and have a strong understanding of the organisation's priorities and complex interplay between different parts of the organisation. You will need to have excellent prioritisation skills and an ability to draw insights and order from complexity and uncertainty, for example in managing the HMTC/CG's time and travel to best effect against a multitude of competing pressures and ensure that key account management of external stakeholders is pursued vigorously. You will be a skilled communicator - orally and in writing - including to manage clients and senior Government Ministers' staff. You will also be highly organised, able to think strategically, act tactically, drive execution and plan ahead, with highly attuned attention to detail. You will also need to be intellectually agile - able to turn your mind to a broad range of issues and activities; and comfortable with working at pace and providing a consistently excellent service.

Roles and responsibilities:

1. Manage the daily operations of the executive office and team, ensuring tasks are prioritised and completed efficiently and to a high standard. Promptly resolve issues using individual judgement.

2.Strategic management of the executive's calendar, including scheduling meetings, appointments, and travel arrangements to optimize their time.

3. Act as the primary point of contact between the executive and high level internal/external stakeholders, including drafting complex correspondence, providing advice to HMTC/DTC on responses, conducting research, and responding with clarity, urgency and discretion.

4. Conduct research, formulate proposals and edit documents, reports, and presentations for executive-level meetings and communications to support rapid decision making.

5. Lead on implementation and maintenance of office management procedures to improve workflow and ensure the office operates smoothly and efficiently.

6. Manage and mentor executive office/Regions and Sectors teams, coordinating tasks to ensure all responsibilities are met and providing guidance on standards and practices.

7. Handle sensitive and confidential information with the utmost discretion, ensuring data protection and privacy policies are always adhered to.

8. Formulate and deliver a successful strategy to ensure the cross-post Regions and Sectors teams are supporting the highest priority projects, research, and events for DBT North America.

9. Act as secretariate, present options and act as an adviser for the DBT North America Senior leadership team, working with leadership to set strategic agendas and drive execution of priorities and actions, including follow-up from decisions.

10. Represent DBT at external events.

Resources managed (staff and expenditure):

Management of the Executive Office (9 FTE), with direct line management of 1 Executive Assistant; the Residence Manager; the Head of Visits and Events; and 2 Project Specialists.
