Workplace Facilities Coordinator

The Workplace Facilities Coordinator plays a crucial role in ensuring the seamless operation and administration of the workplace environment for the client account.

Job Description

This role focuses on enhancing back-office functions and contributing to a positive experience for both employees and guests. The coordinator works closely with various teams to uphold the core values of ISS and our client, ensuring that service delivery meets the highest standards.

In addition to providing high-quality customer service, the Workplace Facilities Coordinator is responsible for delivering technical support and managing facilities operations across the client’s UK offices.

The role requires a deep understanding of relevant Facilities Management procedures and processes, ensuring consistency, compliance, and efficient service delivery.

This position is key to maintaining a productive, safe, and well-managed workplace environment.

Key Responsibilities

  • Provide support to the Workplace Facilities Manager and teams, ensuring compliance with policies and standards.
  • Coordinate services like cleaning, catering, and maintenance for seamless operations.
  • Monitor and update workplace management systems with accurate data and generate reports on metrics.
  • Assist with budget tracking, invoice processing, and expense reconciliation.
  • Serve as the point of contact for workplace queries and liaise with suppliers for service delivery.
  • Maintain health and safety records, support ESG initiatives, and ensure compliance with relevant policies.
  • Identify process improvement opportunities and assist with the rollout of new workplace technologies.

Professional and Personal Competencies/Qualifications

  • Proven experience in a coordination role, preferably in facilities management or a workplace environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and workplace management systems.
  • Excellent organisational and multitasking skills, with the ability to manage competing priorities.
  • Strong written and verbal communication skills.
  • Familiarity with health and safety regulations and reporting processes.
  • Hold or be working towards an FM qualification.
