About the Role

We are seeking a customer focused, highly organised and detail-oriented Facility Coordinator to join our team.

In this role, you will play a crucial part in ensuring our organisation operates smoothly by managing and coordinating all aspects of our facilities. You will effectively manage and coordinate suppliers remotely to ensure that agreed customer service is provided to the client and internal customers. You will ensure service delivery expectations are met according to clients’ standards and needs. You will maintain the professional image and reputation of Macro in all contact with clients, suppliers and internal staff.

Purpose will include:

  • Offer support and guidance to ensure that workflow is delivered effectively and safely.
  • Develop a relationship built on trust with the client, in addition to contributing to the development and success of Macro by supporting the management team through opportunities development and operational activities.
  • Manage and deliver the Facilities Management activities & maintenance requirements at the client location. Manage and support all contact with clients, suppliers and internal staff.
  • Deliver excellent customer service to exceed the client’s expectations.
  • Daily Management interface towards Stakeholders and customers to ensure Service Level Agreements are met.

Key Responsibilities will include:

  • Ensure that any client or customer concerns or complaints are dealt with effectively and communicated accordingly.
  • Provide cover for the customer-facing Facility Coordinator, providing highly professional customer service
  • Adopt a proactive approach to all duties and requests and be flexible enough to respond to last minute requests as they arise.
  • Manage supplier contracts, ensuring that quality services, value for money and innovative service are provided.
  • Manage and control budgets, financial targets and financial processes, producing timely and accurate reports in accordance with the contract, including raising purchase orders & reviewing/approving supplier's invoices.
  • Ensure all documentation regarding QHSE is up to date and adhered to in daily operations by all suppliers on sites.
  • Undertake Macro contractual, compliance, and technical audits of supplier services.
  • Maintain customer satisfaction at the highest level by providing a high-quality and pro-active service.
  • Adhere to and promote organisational values.
  • Effectively and accurately communicate relevant information and business communications.
  • Manage and deliver all logged and requested tasks/jobs in conjunction with the Macro FM24 Helpdesk, ensuring that any client or customer requirements, concerns or complaints are dealt with effectively and communicated accordingly.
  • Undertake planned preventative maintenance activities through the designated supply chain or the landlord, relating to but not limited to Electrical, HVAC, Fabric, Plumbing and Water Hygiene.
  • Manage daily and periodic maintenance and compliance tasks/requirements.
  • Manage and make safe any small repairs as they occur within the facilities and problem-solve any associated issues that would require further intervention by a specialist contractor
  • Collaborate with the external service provider for the management of the vehicle fleet (rental, maintenance, renewal).
  • Administer fleet management, including but not limited to implementing best practices for employees, follow-up of insurance, vehicle hand-back, processing and management of fines.
