Overview & Primary Outcomes

We’re looking for a highly organised and solutions‑driven Creative Project Manager to act as the essential bridge between our clients and our creative delivery teams. In this role, you will oversee the full lifecycle of project‑based creative work – from initial briefing and concepting through production and final delivery – ensuring every project is completed on time, within budget, and to an exceptional standard.

You will support the Creative Manager with scoping for retainer clients, while owning end‑to‑end delivery for all project‑based accounts. You’ll turn abstract client needs and business goals into clear, actionable Creative Briefs, build detailed project plans, manage budgets, navigate risks before they become blockers, and guide clients smoothly through reviews, feedback, and approvals. This role is perfect for someone who thrives at the intersection of creativity, structure, and client management.

This role has 4 primary outcomes
  • Planning: Internal and expectations are set with a clear plan for creative delivery, which is delivered on or ahead of schedule and within budget
  • Client Satisfaction: Project delivery meets or exceeds client expectations in terms of both quality and process, resulting in strong client retention across UK creative clients.
  • Quality: Work produced is of high quality and delivered within budget and with maximum efficiency
  • Accuracy: Our creative work is delivered aligned with Incubeta best practice and inline with the client's brief.
Key Responsibilities
Planning & Execution:
  • Translate the client's needs and creative vision into a clear, actionable Creative Brief for the internal team for project‑based work.
  • Develop comprehensive project plans, including detailed timelines, milestones, and dependencies, often adapting to the iterative nature of creative work.
  • Establish a project budget based on cost estimates and track finances throughout the project lifecycle to ensure the project remains profitable and within the approved financial parameters.
  • Take client briefs to assign tasks and allocate internal creative resources (designers, copywriters, video editors, etc.) based on their skills, workload, and project needs to optimise team productivity.
  • Identify potential project roadblocks (e.g., creative misalignment, resource conflicts, technical challenges) and proactively develop mitigation strategies to keep the project on track.
Client engagement:
  • For project‑based work, the project manager is the main point of contact for the client and ensuring we deliver the project on time, within budget and aligned with client expectations.
  • Have clear client communication with the client on dependencies, timeframes and impacts on deliverables to build client trust, resulting in strong client engagement and relationships.
  • Ensure the client expectations are set by providing regular, clear, and concise project status updates, proactively communicating potential risks, delays, or changes to the client.
  • Manage the client feedback and approval process, ensuring feedback is captured accurately, filtered, and translated into specific, non‑subjective action items for the creative team.
  • Present creative concepts and final deliverables to the client for project‑based work, effectively articulating the creative rationale and how the work addresses the original business objective.
  • Ensure SLAs are adhered to, change requests are recognised, logged and rescoped, and any indication of scope creep is highlighted to the Creative Manager and minimised.
Quality Assurance & Improvement:
  • Ensure high‑quality creative output by actively participating in briefing and quality assurance processes.
  • Conduct regular project wash‑ups to ensure our work is consistently meeting quality expectations and finding solutions to streamline processes and improve quality.
  • Oversee the creative review and quality control process to ensure the final deliverables meet both the client's original brief and the agency's quality standards before delivery.
  • Ensuring we are always looking for more effective and efficient ways of working across our creative delivery.
Team Engagement:
  • Support the new business development with clear timeframes and pricing for proposals.
  • Support the Creative Manager for retainer‑based clients with a clear framework and scoping support.
  • The Client teams are kept up to date with creative deadlines, developments and project risks.
