Transition & Programme Lead

ROLE PURPOSE
Responsible for leading account transitions and the assigned transition team for the duration of the transition. A transition project may include large complex multi-service lines for regional and global clients. Responsible for overseeing and managing the end-to-end project and ensuring that all applicable business service lines deliver the scope of work required and that all service lines coordinate their work with each other, to assure the overall outcome of service delivery is achieved. This may include but is not limited to functional areas, i.e., Technology, Sourcing, HR, finance etc.
Responsibilities also include the leadership of matrix team to deliver a transition or project; owner of the budget/schedule; implementation of all contractual deliverables; client reporting and interface (acting as a single point of contact/SPOC); successful “go-live” and transition close out.
This role will work with senior managers and executive sponsors to initiate and lead projects and programmes supporting Global Workplace Solutions (GWS). This is predominantly mobilising new client accounts and expansion/transformation of existing accounts as a member of the GWS Global Transition Team (GTT).
JOB SUMMARY:
- Primary administrator of large, complex transition projects. Accountable to maintain the project schedule, reporting dashboard, and to host key meetings. Understands the solution documents and materials to translate a proposed solution into a project plan/schedule.
- Ensures matrix team compliance with project scoping methods and can help large groups codify purpose, objective, and scope for their programmes. Expert at ensuring all scope is accounted for within the transition plan; can proactively adapt project plan templates (MS Project) to client needs and requirements.
- Expert in full lifecycle of project and program schedules of any size and type. Able to design custom governance structure tailored to client needs. Contributes to development of new plan content to be shared with PM team.
- Facilitates cross-functional planning and plan validation sessions with large sized groups and at varying levels of detail and depth.
- Expert knowledge and application of Project Management. Ensures other PMs, GTT members, and enterprise resources are informed and following standards.
- Ensures program objectives are met on assignments and learnings are used to advance the PM and GTT team.
- Well versed at project report construction and modification. Able to anticipate needs and customize or develop new reporting to suit project and client preferences. Capable of interpreting reports for all levels of stakeholders.
- Designs, establishes, and leads program governance on large, complex projects using specific technology platforms.
MAJOR TASKS:
- Expert at all internal and client kickoff processes; can brief any section (as needed); understand all workstream elements and can brief any as needed
- Can develop and execute streamlined processes allowing maximum efficiency for all team members while providing exceptional quality and value. Understand GWS key initiatives and support all team members with achieving goals
- Exceptional communicator and leverages tools to assist discussion to mitigate risks. Leads by example, and enables all transition team members to be successful in their workstream
- Understands the client's needs and able to work with the Data Management Office to build customized reporting suited for each client and stakeholders at multiple organization levels. Understand the critical elements of a report and can tailor as necessary ensuring maximum value and quality
- Able to use all best practices and lead evolution into greater efficiency, allowing for all workstreams and transition team members the maximum amount of time to do their work. Expert contributor and understand all weekly needs and how to support and promote success across the team. Able to structure and lead Internal Control Call / Project Review Meetings and Steering Committee meetings for large, complex programs
- Expert risk manager; can communicate potential risks prior to them becoming risks, can provide experiences or examples of like risks and how each was mitigated or resolved
- Develops and manages the transition work stream data reporting and tracker capabilities, advancing team knowledge and interconnectedness by identifying opportunities for enhanced reporting and sharing of information
- Identifies improvement opportunities to Global Transition Team practices through experience and leading initiatives generated from the Transition Improvement Process (TIP)
- Understands impacts and cascade effects of managing time and expenses. Understand transition budget developments and how to expertly manage to each established budget
PERSON SPECIFICATION:
- Able to discern solution documents, connect with solution leads for specifics, and design master crafted Request for Proposal (RFP) schedules that fit client needs. Able to effectively confirm deliverables and prepare connections across transition plans, ensuring that the transition has an extremely quality plan (regional, national or global)
- MS Project Online: Advanced to expert level expertise preferred. Ability to modify complex MS project plans, provide regular updates and troubleshoot overall functionality of a complex MS project schedule
- SmartSheet: Familiarity with this platform preferred
- Power BI: Familiar with Power BI reports – comfortable in using reports and dashboards built in Power BI; can work with experts to align reports to the needs of the project.
- Microsoft Suite: Moderate familiarity with Word, PowerPoint, OneNote and Teams; above average ability with Excel preferred
- Bachelor's degree with an emphasis in Facilities Management, Business Administration, Construction or related field
- Professional background with systems implementations, mergers/acquisitions, re-engineering or other large/complex projects
- Must be fluent in English
- Fluency in another European language, such as German or French, is desirable but not essential
- Ability to travel as required – including regular presence in our London HQ
