Role overview

This is an integral part of the central Support Team with primary responsibility for supporting the Head of Corporate Advisory & Capital Markets and wider CACM team. As well as assisting the other Team Co-ordinators, providing cover during holiday periods and general duties as directed by the PA to CEO.

As a Team Coordinator at MHP Group, you will:

Provide PA and administrative support to the Head Corporate Advisory & Capital Markets:

  • Diary management for Head of Corporate Advisory & Capital Markets
  • Administrative support including but not limited to booking meetings, travel logistics and PowerPoint creation for internal and external meetings
  • Processing expenses and weekly timesheets

Provide ad-hoc administrative and operational support to the wider team. This role will support the effective delivery of client service, marketing activity and day-to-day operations of the practice.

  • Providing administrative support to client teams; including but not limited to:
  • Coordinating logistics prior to and during client meetings and client events. In some cases, attending events to ensure a smooth running and provide on-hand support
  • Scheduling external meetings
  • Binding bulk documents for client pitches / and meetings
  • Booking travel and logistics
  • Proactively request from the team any special requirements for meetings and organise any catering or ad-hoc requests
  • Maintaining internal documents with the relevant and up to date information, including client lists, staff biographies, internal meetings rota, holiday tracker etc
  • Assist with renewal of subscriptions on behalf of the CACM team
  • Support on recruitment by diarising interviews and assisting with the onboarding of new members of staff within the team
  • Ad-hoc support for people aspect of team (buying event gifts and cards, ordering and organising food/drink for team socials/monthly meeting)

Shared responsibility alongside the Support Team of the day-to-day running of the office; including but not limited to:

  • Managing the incoming switchboard calls and directing them to the relevant person or passing on a message
  • Provide cover for PA to CEO during weekly non-working day / annual leave
  • Helping to keep the office tidy and presentable / client ready, including meeting room checks throughout the day
  • Ensuring the TVs are switched on, on the office floor
  • Keeping stationary and printers replenished
  • Managing the weekly drinks trolley

You will:

  • Have previous experience in a similar role
  • Be interested in public relations
  • Be friendly and approachable with strong administration and communication skills, both verbally and written
  • Be proactive, extremely organised with excellent attention to detail
  • Have a professional attitude and the ability to build strong working relationships
