Team Administrator

London

Vario is Pinsent Masons’ market-leading alternative legal services provider, offering a unique blend of Flexible Services, Consulting & Technology, Legal Project Management and Managed Legal Services (MLS).

We are looking for a Team Administrator to deliver proactive, high‑quality administrative support across our UK MLS teams, with a particular focus on our Property MLS team and MLS Leadership group.

This is a 6‑month fixed‑term contract, offering an excellent opportunity to develop your career within a legal services environment. The role is hybrid, with a 60/40 office‑to‑home working pattern.

Key Responsibilities
Property MLS
  • Supporting fee earners with billing tasks and monthly billing cycles
  • Support with process optimisation for all MLS mobilisation workstreams – supporting with drafting of process templates, updating project plans, ways of working manuals, rate cards, reporting
  • Support with client insights – ad hoc research tasks, updating CRM systems
  • Assisting with ad‑hoc queries and projects as required
  • Use of Docusign to arrange signatures for engagement letters
  • Manage and maintain the document library, ensuring all documents are filed in the appropriate location
MLS Leadership Support
  • Diary management for MLS Leadership including arranging meetings, ensuring the Outlook diary is up to date, taking responsibility for booking travel, meeting rooms – equipment and refreshments
  • Inbox management – proactive management of MLS Leaderships incoming e‑mails, acknowledging receipt and responding where able and rerouting as appropriate.
  • Document management – creating and managing documentation – drafting correspondence, producing documents/letters/mails/presentations – formatting and storing appropriately
  • Processing expenses as assigned
