Job summary

Arriva Road Transport Services (ARTS) is seeking a Service Planning Coordinator to manage the planning, processing and allocation of rail replacement and train crew taxi services across the UK. Reporting to the Pre-Planned Operations Manager, you will ensure transport arrangements are delivered efficiently, cost‑effectively and in compliance with UK/EU regulations.

Responsibilities

  • Process rail replacement and train crew taxi orders, ensuring journeys are planned efficiently.
  • Allocate transport requirements to approved suppliers at competitive rates.
  • Ensure planned operations comply with UK/EU driving regulations and procedures.
  • Liaise with TOCs to understand requirements and provide effective transport solutions.
  • Coordinate taxi, minibus, coach, and bus operators to deliver reliable passenger transport services.
  • Produce operational plans, briefings, and supporting documentation for stakeholders.
  • Monitor service delivery performance and investigate any failures or issues.
  • Review supplier invoices and ensure accuracy before payment and billing.
  • Maintain transport supplier databases and develop strong relationships with operators.
  • Analyse operational and financial data to support efficiency improvements.
  • Attend meetings with customers and suppliers to support business objectives.
  • Support identification of new business opportunities and growth of ARTS services.

Service Planning Coordinator

Location: Derby with hybrid working options

Contract: 6 Month Fixed Term Contract

Salary: £33,288 per annum + on call

About the Role

Reporting to the Pre-Planned Operations Manager, the Service Planning Coordinator will be responsible for the planning, processing, and allocation of rail replacement and train crew taxi services across the UK.

The successful candidate will ensure all transport arrangements are delivered efficiently, cost-effectively, and in compliance with relevant UK and EU driving regulations.

They will work closely with train operating companies (TOCs), transport suppliers, and internal stakeholders to provide high-quality passenger transport solutions while maintaining exceptional levels of customer service.

The role also involves managing post-operation service reviews, resolving delivery issues, validating supplier performance, and ensuring all invoicing is processed accurately to support timely and correct payments.

  • Previous experience of supplier management or transport procurement.
