Job summary

Johnsons Cars in Stourbridge is seeking an experienced Sales Administrator to join our VWG department. You will accurately process vehicle orders, maintain records on the IdealFile system and support the Sales Teams with invoices, funding codes and delivery communications.

Qualifications

• Have previous Vehicle administration experience.

Responsibilities

• To complete & process vehicle orders accurately on Johnsons and Manufacturer systems.
• Create computerised records on the IdealFile system for stock vehicles.
• Conduct HPI/Experian checks on incoming vehicles.
• Carry out vehicle mileage checks per group guidelines.
• Assign correct funding codes to booked-in vehicles.
• Process vehicle sales invoices accurately with correct codes.
• Tax vehicles as required.
• Carry out physical stock checks and report anomalies.
• Communicate new vehicle delivery date changes to dealerships.

What You’ll Be Doing

• To complete & process accurately all vehicle orders, on both Johnsons and the Manufacturer systems.
• To create computerised records on the IdealFile system for vehicles received into stock, completing details as required and keeping online records up to date at all times.
• To Hpi / Experian Check ALL incoming vehicles (part ex/direct purchase)
• To carry out vehicle mileage checks as per Group Guidelines
• To ensure all cars are allocated the correct funding system code as they are booked in
• To process all Vehicle Sales invoices accurately, using the correct system descriptions and codes, ensuring all handover documentation reaches the Sales Teams, via the IdealFile system, in a timely fashion.
• To Tax Vehicles as required
• To carry out physical stock checks when required, submitting stock lists to the VSB Accountant and reporting any ‘anomalies’
• To communicate New Vehicle delivery date change notifications as required by the individual dealership(s)
