Job summary

Johnsons Cars, a leading UK independent automotive retailer, is seeking an experienced Sales Administrator to join the VWG department in Stourbridge. You will manage vehicle orders, maintain records, perform checks, and ensure accurate invoicing and handovers, supporting a smooth vehicle sales process.

Qualifications

Responsibilities

• Process and complete vehicle orders on Johnsons and Manufacturer systems.
• Create and maintain computerised records in the IdealFile system.
• Perform HPI/Experian checks on incoming vehicles.
• Carry out mileage checks in line with guidelines.
• Ensure funding codes are correct at booking in.
• Process vehicle invoices and handover documents accurately.

What You’ll Be Doing

• To complete & process accurately all vehicle orders, on both Johnsons and the Manufacturer systems.
• To create computerised records on the IdealFile system for vehicles received into stock, completing details as required and keeping online records up to date at all times.
• To Hpi / Experian Check ALL incoming vehicles (part ex/direct purchase)
• To carry out vehicle mileage checks as per Group Guidelines
• To ensure all cars are allocated the correct funding system code as they are booked in
• To process all Vehicle Sales invoices accurately, using the correct system descriptions and codes, ensuring all handover documentation reaches the Sales Teams, via the IdealFile system, in a timely fashion.
• To Tax Vehicles as required
• To carry out physical stock checks when required, submitting stock lists to the VSB Accountant and reporting any ‘anomalies’
• To communicate New Vehicle delivery date change notifications as required by the individual dealership(s)

• Have previous Vehicle administration experience
• Be able to work both independently and as part of a team
• Be numerate and pay attention to detail
• Have exceptional customer service and people skills
