Job summary

Northwest Veterinary Specialists, part of Linnaeus and Mars Veterinary Health, is seeking a Referral Receptionist to join our Client Care Team. You’ll support front-of-house operations, manage bookings and client communications, and assist at the Eye Vet when needed.

We value a friendly, organised, and empathetic approach, with the ability to multitask in a fast-paced environment. Training will be provided, and full-time or part-time options are available.

Qualifications

• Friendly, empathetic and confident in speaking with clients.
• Highly organised with excellent attention to detail.
• Able to multitask and remain calm under pressure.
• Strong team player with a proactive attitude.
• Comfortable using computer systems and learning new software.

Responsibilities

• Providing a warm, welcoming and professional first impression to clients, visitors and referring vets.
• Managing incoming calls and emails, including booking referrals and offering clear guidance.
• Checking clients in and out and supporting them throughout their visit.
• Processing payments, insurance queries and administrative tasks.
• Maintaining accurate client records and ensuring referral information is handled correctly.
• Communicating effectively with clinical teams to support workflow and patient management.
• Upholding high standards of confidentiality and professionalism.
• Occasional cover at another local referral site The Eye Vet.
