Patient Services Apprenticeship
Apprentices will receive appropriate training and guidance to undertake the full range of duties specified in the Job description. You’ll begin by learning all core aspects of reception and admin, including patient interaction, appointment systems and clinical support.
Understand the role and willingness to learn and develop theoretical knowledge and practical skills. Opportunities may present to move on to higher responsibilities for the right candidate.
Training
Full training is provided by working alongside experienced staff to support you and gain the practical skills needed, learning job‑specific skills, achieving a Level 2 vocational qualification. All training will be paid in full.
Eligibility and Qualification
- Individuals who already hold a degree are not eligible to undertake a Level 2 Apprenticeship.
- Applicants must not already hold a Level 2 qualification in Primary Care Administration and Reception.
- GCSE English grade C or above required.
- IT efficiency required.
- GCSE Biology grade C or above desirable.
- Good general standard of education (4 GCSEs/O Levels grade C or above or equivalent).
- Disclosure and Barring Service Check required.
Aims of the Role
To provide an effective and efficient reception service to patients and visitors, while supporting the clinical team and developing a Level 2 qualification.
Job Responsibilities
- Ensure a friendly and efficient reception service is provided to patients and visitors.
- Book appointments per practice policy; understand appointment reasons and lengths.
- Handle first‑line telephone and face‑to‑face enquiries.
- Guide patients with no prior appointment to online request forms.
- Explain registration arrangements and other services.
- Take and record telephone calls accurately, responding within 5 rings.
- Enter home visit requests into the triage system, referring urgently to on‑call GP.
- Check and act on practice generic emails and complete daily patient task lists.
- Process repeat prescription requests within 48 hours.
- Invite patients to repeat bloods, BP checks, chronic disease clinic attendance as per EMIS alerts.
- Maintain paper and electronic patient records, scan, retrieve, re‑file, and keep in good order.
- Assist with recall registers (INR, HbA1c, etc.) and advise patients of relevant charges.
- Handle cash transactions, issue receipts, and forward cheque payments.
- Open, stamp, and sort incoming mail; keep waiting room and notice boards tidy.
- Provide refreshments to doctors during surgery and photocopy documents as requested.
- Prepare consulting rooms, keep equipment clean and free from damage.
- Open premises at day start, deactivate alarm; ensure security at day end.
- Monitor auto check‑in & patient caller; investigate faults.
- Welcome new patients, register them, offer health checks, book reviews, and support digital services (NHS Wales App, NHS111).
- Maintain GDPR, NHS Confidentiality, infection control, and health and safety standards.
- Maintain personal learning plan and evidence of mandatory training.
Triage Role
- Support triage lead GP by providing care navigation and efficient GP appointment system.
- Clear the daily triage queue and maintain safe and timely triage.
- Manage appointment schedules, cancellations and rescheduling within competency limits.
- Review future appointment availability with triage GPs.
- Communicate with patients via telephone and text (Accurx).
- Build and maintain GP & ANP appointment schedules in the clinical system for six weeks ahead.
- Identify workflow or system improvements to enhance patient experience.
Clinical Coding & Summarising Medical Records
- Extract terms from clinical documents and translate to SNOMED codes.
- Second‑check letters for accurate processing.
- Liaise with clinicians to maintain accurate coding.
- Summarise medical records promptly and accurately.
Person Specification – Essential Skills
- Able and confident using multiple computer systems.
- Friendly, professional communicator (written, verbal and telephone) and in Welsh (minimum level 4).
- Knowledge of Data Protection Act and patient confidentiality.
- Ability to work in a busy environment and remain calm under pressure.
- Positive and enthusiastic attitude; work on own initiative and as part of a team.
- Commitment to acquiring Level 2 qualification, completing eportfolio and assessment on time.
Person Specification – Desirable
- Experience gained from dealing with members of the public.
Additional Criteria

- Post subject to Rehabilitation of Offenders Act (Exceptions Order) 1975.
Benefits
£7.55 per hour, Fixed‑term contract (18 months), Full‑time 37.5 h, Apprenticeship with full‑paid training and Level 2 qualification.

Rural general practice with 2 surgeries, 8 200 patients in beautiful South West Anglesey. Llanfairpwll Health Centre & Meddygfa Penbryn Surgery. 7 GPs, 1 ANP, experienced practice nurses, health care assistants, dispensary and a well established admin team. EMIS clinical system.
