The job holder will provide administrative support within the Probation Service (PS), ensuring that staff and people on probation are supported through efficient processes, maintaining administration systems within specified timescales in order to promote the achievement of team and Divisional objectives.

Our Client is hiring for an Admin Officer to support the Probation Service Directorate with professional reception, essential admin, and building services that keep everything running smoothly.
What you'll be doing:
- Acting as the first point of contact for visitors, telephone callers, and email enquiries-greeting people professionally and logging arrivals/departures
- Issuing visitor passes and security fobs, ensuring the right staff are notified at the right time
- Answering general enquiries about probation and local support services, and escalating more technical questions to the appropriate manager
- Using tact and situational awareness to help de-escalate potentially volatile situations, recognising safeguarding/risk concerns and taking appropriate action
- Supporting building logistics: managing mail, ordering stationery/PPE, organising meeting room equipment, handling deliveries, and supporting room/desk/car parking bookings
- Assisting with Health & Safety and security, including key-holder duties, fire/panic alarm testing, CCTV monitoring, and supporting evacuation measures (including acting as Fire Warden/First Aider where required)
- Logging building faults and incidents, escalating maintenance/repair needs and making urgency decisions within guidelines
- Providing confidential administrative support to operational teams when needed-updating files, producing documentation/correspondence, scanning/archiving sensitive data, and inputting information as required
What you'll bring:
- Proven confidence with ICT-strong working knowledge across Microsoft Office applications
- Excellent verbal and written communication skills with a professional, approachable manner
- A steady, responsible approach to handling sensitive and confidential information
- Strong customer-focused instincts, including professionalism on reception
- An ability to maintain standards in busy periods, including unsocial core hours (evenings and/or weekends) as required

Additional information:
- You may be expected to cover other teams/functions during absences-training will be provided
- You'll support escorting contractors/visitors in the absence of the Senior Admin Officer (where necessary)
