Job summary

Creation Group is seeking a Project Coordinator in Oswestry to manage end‑to‑end asset execution for client events, coordinating logistics, scheduling, and inventory with production and warehouse teams. You will collaborate with the Account Director, prioritise tasks, maintain accurate documentation, and support reports while ensuring health, safety and compliance across operations.

The role is full‑time, 08:30–17:30, with a salary £27,000–£30,000 depending on experience, plus a discretionary

Qualifications

  • Proven experience as a coordinator in a similar role.
  • Exceptional attention to detail with strong organisation and multitasking capabilities.
  • Solutions‑oriented, calm under pressure, and proactive.
  • Excellent communication skills with positive energy.
  • High level of discretion and professionalism handling confidential information.
  • Ability to work independently and collaboratively in a team.
  • Proficient IT skills (Google Suite).
  • Full driving licence.
  • Experience in events or wet‑led hospitality industry preferred.

Responsibilities

  • Assist in prioritising tasks and deadlines for the client team.
  • Coordinate with logistics to move assets to/from venues as per project schedules.
  • Liaise with suppliers, venues and contractors for load‑in/out logistics.
  • Maintain inventory accuracy using tracking systems.
  • Monitor asset condition and readiness for deployment.
  • Support maintenance, repair and upgrade processes with technical teams and vendors.
  • Collaborate with warehouse staff on asset storage and organisation.
  • Document logistics, asset tracking and compliance records.
  • Prepare reports on inventory, usage and incidents.
  • Contribute to health, safety and compliance processes.
  • Prepare client-facing documents such as quotes, invoices and service records.
  • Align travel and accommodation with asset movements and schedules.
  • Archive documentation per internal procedures.

Position: Project Coordinator

Employment: Full Time 08:30 – 17:30 I Permanent

Purpose of role

This is a hands‑on, high‑energy role at the heart of one of our exciting client accounts. You’ll work closely with a dynamic brand that values creativity, speed, and flawless execution. As a Project Coordinator, you’ll report to the Account Director and act as the linchpin between the client team and our asset management function. Your role will be essential in driving the effectiveness and efficiency of client delivery by coordinating the end‑to‑end asset execution of events. This includes managing logistics, scheduling transportation, overseeing inventory, and ensuring the maintenance of production assets all in close collaboration with our production and warehouse teams. What you will be responsible for
  • Assist in prioritising tasks and managing deadlines for the client team. Anticipate needs and proactively address issues to ensure smooth operations.
  • Coordinate with the logistics team to execute the movement of assets and equipment to and from venues in accordance with project schedules.
  • Liaise with suppliers, venues, and contractors to support load‑in/out logistics and operational readiness.
  • Maintain inventory accuracy using tracking systems and software under the direction of the Account Manager and Warehouse teams.
  • Perform regular checks on asset condition, availability, and readiness for deployment.
  • Support maintenance, repair, and upgrade processes by liaising with technical teams and external vendors.
  • Work with warehouse staff to ensure proper organization and storage of assets.
  • Maintain accurate documentation of logistics, asset tracking, and related compliance records.
  • Support preparation of reports on inventory levels, usage, and damage/loss incidents.
  • Contribute to health, safety, and compliance processes through documentation and adherence to protocols.
  • Prepare and maintain client‑facing documents such as quotes, invoices, and service records.
  • Align travel and accommodation bookings with asset movements and team schedules.
  • Ensure all documentation is archived in accordance with internal procedures.
