Job summary

United Infrastructure is seeking a Planning Coordinator to schedule engineering activities, manage resources, and mitigate risks to meet SLAs for PPM and reactive works. The role focuses on forward planning, coordination with Demand Lead and Operations Manager, and efficient use of scheduling tools.

Hybrid role with 4 days in the office and 1 day from home. Strong organisational, communication, and problem-solving skills are essential to ensure on-time delivery and high-quality service.

Qualifications

  • Proven ability to plan and schedule engineer workloads effectively.
  • Experience with CAFM systems.
  • Strong organisational and prioritisation skills.
  • Excellent communication skills across all levels.
  • Educated to A-Level standard or equivalent (desirable).
  • Experience with Maximo or Oracle is a plus.

Responsibilities

  • Plan and schedule jobs in line with timeframes set by the Demand Lead.
  • Ensure all requirements are in place prior to job allocation, including site access, engineer skill sets, and materials.
  • Identify and escalate any risks that may impact delivery timelines.
  • Proactively resolve access or scheduling issues to avoid failed visits.
  • Work closely with the Operations Manager to optimise engineer planning.
  • Collaborate with the Demand Lead to ensure reactive works are raised and completed within SLA.
  • Support timely delivery of all PPM activities within the monthly timeframe.
  • All PPM activities are planned and completed within the designated timeframe.
  • Reactive works are completed within SLAs.
  • Use CRM data to prevent repeat issues or inefficiencies.
  • Resolve day-to-day challenges to maintain service delivery.
  • Proactive planning reduces risk of delays.
  • Produce and manage engineer work schedules for optimal productivity.
  • Maintain strong communication with Reactive and Governance Compliance teams.
  • Deliver high-quality forward planning for all PPMs within the month.
  • Maximise utilisation of engineers using scheduling tools and standard times.
  • Meet or exceed attendance and completion SLAs.
  • Liaise with the Ops Manager on subcontracting decisions and adjust plans.
  • Escalate outstanding or at-risk jobs and implement mitigations.
  • Oversee data quality in systems like Maximo and Oracle.
  • Support the Management Team as required.
  • Raise and approve purchase orders promptly.
  • Manage internal outages and coordinate responses.

The Planning Coordinator is responsible for ensuring the effective scheduling and coordination of engineering activities to meet operational deadlines and service level agreements (SLAs). This role focuses on forward planning, resource allocation, and risk management to ensure successful delivery of both planned preventative maintenance (PPM) and reactive works (RW).

Key Responsibilities
  • Plan and schedule jobs in line with timeframes set by the Demand Lead
  • Ensure all requirements are in place prior to job allocation, including site access, appropriate engineer skill sets, and necessary materials or spares
  • Identify and **escalate** any risks that may impact delivery timelines
  • Proactively resolve access or scheduling issues to avoid failed engineer visits
  • Work closely with the Operations Manager (OM) to optimise engineer planning
  • Collaborate with the Demand Lead to ensure all reactive works are raised and completed within SLA
  • Support the timely delivery of all PPM activities within the required monthly timeframe
  • All PPM activities are planned and completed within the designated timeframe
  • Reactive works are completed within agreed SLAs
  • Effective use of CRM data to prevent repeat issues or inefficiencies
  • Day-to-day challenges are resolved quickly to maintain service delivery
  • Proactive planning reduces risk of job failure or delays
  • Produce and manage engineer work schedules to ensure optimal productivity and efficiency
  • Maintain strong communication with Reactive and Governance Compliance teams

  • Oversee data quality in systems such as Maximo and Oracle, ensuring accuracy and clear job narratives
  • Support the Management Team and Team Leader as required
  • Ensure timely raising and approval of purchase orders
  • Manage internal outages and coordinate responses effectively
  • Undertake additional duties as required by the Line Manager

Qualifications & Experience
  • Intermediate Microsoft Excel skills
  • Experience with CAFM systems
  • Previous experience in a planning or scheduling role using internal systems and Microsoft Office
  • Knowledge of hard services or facilities management (desirable)
  • Educated to A-Level standard or equivalent (desirable)

Monday to Friday office based 8am to 5pm Hybrid 4 days office 1 day from home
