Job summary

United Infrastructure is seeking a Planning Coordinator to schedule and coordinate engineering activities, ensuring PPM and reactive works are completed on time and within SLAs. The role focuses on forward planning, resource allocation, and risk management across utility and social infrastructure projects.

Hybrid working arrangement: 4 days in the office, 1 day from home. Requires experience with CAFM systems and strong organisational skills. A-Level or equivalent education preferred.

Qualifications

  • Intermediate Microsoft Excel skills.
  • Experience with CAFM systems.
  • Planning or scheduling experience using internal systems and Microsoft Office.
  • Knowledge of hard services or facilities management (desirable).

Responsibilities

  • Plan and schedule jobs in line with SLAs and delivery deadlines.
  • Ensure site access, engineer skill sets, and materials are in place before allocation.
  • Identify and elevate risks that may impact delivery timelines.
  • Proactively resolve access or scheduling issues to avoid failed visits.
  • Collaborate with the Operations Manager to optimise engineer planning.
  • Support the timely delivery of PPM activities and reactive works within SLA.
  • Maintain data quality in systems such as Maximo and Oracle.
  • Raise purchase orders timely and manage internal outages as required.

The Planning Coordinator is responsible for ensuring the effective scheduling and coordination of engineering activities to meet operational deadlines and service level agreements (SLAs). This role focuses on forward planning, resource allocation, and risk management to ensure successful delivery of both planned preventative maintenance (PPM) and reactive works (RW).

Key Responsibilities
  • Plan and schedule jobs in line with timeframes set by the Demand Lead
  • Ensure all requirements are in place prior to job allocation, including site access, appropriate engineer skill sets, and necessary materials or spares
  • Identify and elevate any risks that may impact delivery timelines
  • Proactively resolve access or scheduling issues to avoid failed engineer visits
  • Work closely with the Operations Manager (OM) to optimise engineer planning
  • Collaborate with the Demand Lead to ensure all reactive works are raised and completed within SLA
  • Support the timely delivery of all PPM activities within the required monthly timeframe
  • All PPM activities are planned and completed within the designated timeframe
  • Reactive works are completed within agreed SLAs
  • Effective use of CRM data to prevent repeat issues or inefficiencies
  • Day-to-day challenges are resolved quickly to maintain service delivery
  • Proactive planning reduces risk of job failure or delays
  • Produce and manage engineer work schedules to ensure optimal productivity and efficiency
  • Maintain strong communication with Reactive and Governance Compliance teams
  • Deliver high-quality forward planning to ensure all PPMs are completed within the month
  • Maximise utilisation of engineers using scheduling tools and standard time allocations
  • Meet or exceed SLAs for attendance and job completion (internal and external resources)
  • Liaise with the Operations Manager regarding subcontracting decisions and adjust plans accordingly
  • Escalate outstanding or at-risk jobs and implement mitigation actions
  • Oversee data quality in systems such as Maximo and Oracle, ensuring accuracy and clear job narratives
  • Support the Management Team and Team Leader as required
  • Ensure timely raising and approval of purchase orders
  • Manage internal outages and coordinate responses effectively
  • Undertake additional duties as required by the Line Manager

Qualifications & Experience

  • Monday to Friday office based 8am to 5pm Hybrid 4 days office 1 day from home
