Job Purpose
We are recruiting for a Personal Assistant who will be aligned to the BBC’s Legal Division, based in London on a permanent, full time basis. This is an exciting opportunity and will provide administrative, operational and dynamic support to BBC Legal. The Legal Division is a crucial advisory function of the organisation, comprised of various sub-teams including Litigation, Employment and Intellectual Property.
The role will be agile with 2-3 days required in the London office and the rest remotely.
Business Management and Administration
The role will report to the Business Partner for Legal and sit within the Business Management & Admin team and job family but will be aligned to, and very much be a part of, the Legal Division.
The Business Management and Administration team works in partnership with all professional services and corporate functions accountable to the BBC Chief Operating Officer (including Product, Technology, HR, Finance, Legal, and Commercial). The team is undergoing radical reorganisation to combine and standardise professional support.
Key Responsibilities And Accountabilities
- Supports up to three Senior Leaders within Legal with day-to-day diary management, forward scheduling and planning for divisional events and training.
- Assist the Senior Leaders in collating, organising and checking the information required for compliance reports.
- Assists Senior Leaders with administrative tasks relating to the recruitment, the onboarding and the departure of staff and contractors into and out of the Legal department, including, as required, the BBC Legal Apprentice scheme.
- Together with the Business Aligned Team for Legal, assists with costs and finance management at a departmental level, including supporting with processing more complex invoices and/or settlement payments and assisting with costs tracking on larger legal matters.
- Assists in managing BBC Legal’s centralised use of databases and systems, including setting up new legal matters across those databases and systems.
- Manages and arranges other resources required for the members of the Legal department to work as needed, including liaising with the wider business regarding department wide technology requirements and ensuring sufficient stocks of divisional stationery.
- Cultivates good working relationships with the Legal leadership team, the BMA team and other BBC staff, to provide clear and consistent business support.
- Works independently and as part of a wider Business Management and Administration team.
Knowledge, Skills, Training & Experience
- You will be a highly skilled operator with a proven track record as a Legal PA in a complex organisation or at a private practice law firm.
- You will have demonstrable experience of providing high quality administrative support at senior level, and must be highly organised, with a proven ability to remain calm, organised and focussed under pressure.
- Ability to manage complex diaries, and to be proactive in planning and mitigating conflicting meetings and events.
- Strong computer literacy and document management skills, with exemplary skills in using multiple office technology and the software applications typical of a legal environment. You will be experienced in utilising a range of office tools and systems to retrieve, collate and produce high quality reports and documents.
- Ability to build and maintain strong working relationships with colleagues, including Senior Leaders and the Business Management & Administration Team.
- You will be experienced in communicating accurately and concisely to a wide network within a complex organisation.
- You will have great attention to detail and be able to deal with fast-changing priorities and competing issues.

- Experience of working in a regulated and/or public sector environment, as well as in a legal environment.
