Job summary

Octopus Legacy is seeking a hands-on operations professional to own and optimise processes across Compliance, Fulfilment and Drafting. You will design workflows, automate repetitive tasks using HubSpot, Zapier, Google Apps Script and Claude, and develop reliable dashboards for performance visibility.

You will also train teams, ensure changes land smoothly, and manage partner relationships for document storage and fulfilment, maintaining audit-ready processes and documentation.

Qualifications

• Detail-oriented with high accuracy in processes affecting families.
• Strong spreadsheet skills for data handling and reporting.
• Hands-on experience with automation and AI tooling.
• Comfort with owning problems from start to finish.

Responsibilities

• Own and improve core processes across Compliance, Fulfilment and Drafting; map workflows and fix bottlenecks.
• Automate workflows and automations in HubSpot, Zapier, Google Apps Script and Claude; monitor for failures.
• Build dashboards and reconciled reporting across live systems.
• Roll out changes with training and adoption; ensure proper rollout and uptake.
• Manage partners for document storage and fulfilment; track service levels and performance.
