Job summary

Waingap Contracts Limited in Leeds is seeking an organised Office Assistant to support day-to-day operations, maintain records, and coordinate tasks across the business. You will work closely with site managers and admin teams to keep operations running smoothly.

Qualifications

  • Organisational, time management and proactive planning skills required.
  • Strong communication skills with a professional telephone manner.
  • Experience using Sage software.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook).

Responsibilities

  • Assist Site Managers and Contracts Managers with site organisation and planning.
  • Manage plant and material orders.
  • Track and maintain records of company-owned assets, equipment, and plant.
  • Organise and monitor maintenance for fleet vehicles.
  • Maintain Health & Safety records and compliance documentation.
  • Prepare and maintain Operation & Maintenance (O&M) manuals.
  • Record and monitor waste management documentation.
  • Process purchase invoices and perform general data entry.
  • Liaise with internal teams and external suppliers to support operational efficiency.
  • Manage office documentation, filing systems, and company records.
  • Assist with the coordination of day-to-day office activities.
  • Ensure all records and information are maintained accurately and confidentially.
  • Answer, screen, and direct incoming telephone calls professionally.
  • Book accommodation for staff as required.
