Job description

Warrington and Halton Teaching Hospitals NHSFT

We are seeking a proactive, highly motivated individual to join our Pathology Administration team. The role involves performing duties similar to a medical secretary to ensure the timely management of diagnostic reports and patient correspondence for our pathology service. You will collaborate closely with the Pathology Manager and Consultant team to meet service requirements.

The ideal candidate will have excellent typing skills and an understanding of medical terminology. Some knowledge of pathology and disease processes is desirable, but training will be provided. Strong communication skills, the ability to work collaboratively, and effective time management are essential. Flexibility in working hours will be accommodated to suit the successful candidate.

The post requires independent workload management in line with service needs and policies.

Note: This position is expected to start in June 2025.

Main duties of the job
  • Transcribe digital/audio dictation, outpatient and discharge letters, general correspondence, and reports within agreed timescales and guidelines. Dispatch signed letters and return case notes to Medical Records Library.
  • Respond to telephone queries and provide non-clinical advice regarding patient care, Trust staff, GPs, and Consultants.
  • Operate and maintain the filing system for investigations/results, using hospital computer systems. Show investigation reports to medical staff.
  • Organize meetings with medical representatives and Consultants.
  • Develop and maintain effective working relationships within the department to ensure a professional service.
  • Take minutes at departmental meetings as requested.
  • Provide flexible cover for secretarial colleagues during absences.
  • Participate in ongoing training and new initiatives.
  • Manage own workload effectively, exercising judgment and initiative in problem-solving or escalating issues as needed.
  • Monitor key targets such as waiting times and ensure compliance with local and national standards.
  • Accurately enter data and monitor patient RTT 18-week pathways.

The postholder will provide efficient secretarial and administrative support to the Diagnostics Clinical Business Unit (CBU), including designated Consultants, junior medical staff, and multidisciplinary teams. Collaboration and respect towards colleagues and patients are paramount.
