Job description

We are seeking a highly organised, proactive, and customer-focused Medical Secretary to join our Neurodevelopmental Services team supporting ASD and ADHD pathways. As the first point of contact for patients, families, and professionals, you will play a key role in delivering an excellent experience through all communication channels — telephone, email, and post.

You will be responsible for managing a high volume of enquiries, effectively triaging and directing correspondence, and supporting administrative processes within the BSW (Bath and North East Somerset, Swindon, and Wiltshire) locality. You will also provide essential support to the broader business support function to ensure smooth and efficient service operations.

This is a very rewarding role for an experienced and dedicated administrator.

Main duties of the job

This role supports the smooth running of Neurodevelopmental Services by ensuring referrals are handled with care, accuracy, and efficiency. Responsibilities include:

  • Screening and directing referrals appropriately, while following clinical guidelines.
  • Liaising with referrers to gather information and ensure timely, high-quality referrals.
  • Prioritising urgent cases and collaborating with health professionals to ensure swift care.
  • Maintaining accurate and confidential records across clinical systems.
  • Providing clear signposting to patients, families, and professionals about available services.
  • Coordinating appointment bookings, rescheduling as needed, and sending relevant information to patients.
  • Supporting administrative tasks such as correspondence, minute-taking, ordering supplies, and maintaining databases.
  • Working flexibly within the team to meet service needs and uphold high standards of care.
