Job summary

NHS Professionals is seeking a Medical Secretary for Berkshire Healthcare NHS Foundation Trust in Reading. The role supports a Consultant Psychiatrist and CMHT, handling diary management, referrals, and patient communications.

The role requires IT proficiency, minute-taking, and strong organisational skills; temporary with potential to extend or convert. Working hours are 9am–5pm, Mon–Fri, 37.5 hours/week.

Qualifications

  • Vocational Level 3 qualification or at least 2 years relevant admin experience.
  • Strong IT skills and proficiency with MS Office.
  • Attention to detail, reliability and excellent interpersonal skills.

Responsibilities

  • Coordinate consultant and CMHS diaries; type reports/letters to GPs and other clinicians; register referrals on the system.
  • Answer telephone calls, book appointments and clinic slots for face-to-face and digital consultations.
  • Send appointment reminders by text or telephone; capture clinical activity electronically; update patient demographics.
  • Organise workload with Consultants and CMHS; coordinate with admin staff for efficient service.
  • Prepare agendas, take minutes and distribute actions from meetings.

Job Title: Medical Secretary

Location: Prospect Park Hospital, Honey End Lane, Reading, RG30 4EJ

Hours: 37.5 hours per week – Monday – Friday 9am – 5pm

Role type: Temporary for 3 months with possibility of becoming permanent

Role details

Provide administrative support to the Consultant Psychiatrist and relevant medical colleagues (e.g. Speciality Doctor, or doctors in training on placement, working with the Consultant) and the Community Mental Health team. The role is a key member of the support team that enables clinicians to deliver the best possible health and care to our patients

Duties & responsibilities
  • This role primarily provides support that includes co-ordinating consultant/team diary, typing reports/letters to GPs and other relevant people, registering referrals on the system, answering telephone calls, offering appointments and booking relevant clinic slots for both face to face and digital consultations, sending appointment reminders by text message/tele call, capture clinical activity electronically, check and update patient demographic details, and support other AMHT support staff.
  • The post holder will be expected to organise their workload with the Consultants and CMHS and co-ordinate their activities with other administrators and support staff to ensure that an efficient service is provided.
  • They will manage the Outpatients Clinics by inputting appointments in advance using the client record system (RiO) and ensuring they are noted in the diary, making sure they do not coincide with other meetings/clinics. Confirming appointments by letter, telephone, SMS.
  • Support a consultant with their diary in conjunction with the overall team diary and ensuring that all appointments are appropriately prepared for and electronically captured.
  • Assist with incoming phone calls as required, processing enquiries if able, signposting where appropriate, and taking messages when indicated in professionally manner.
  • Liaise with patients in the booking and confirmation of attendance at both face to face and digital appointments.
  • Provide a polite and efficient reception service for the CMHS when required.
  • Check through the clients’ medical notes for appointments and ascertain if any results are required.
  • Process training and absence recording in a timely manner.
  • Organise meetings, compile and prepare agendas. Type and distribute minutes of meetings and take follow-up action as required.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

  • High level of IT skills to produce quality documentation
  • Minute taking skills
  • Reliable and organised paying attention to detail, with excellent interpersonal skills
  • Audio typing skills
  • Microsoft office knowledge
