Job description

Job Title: Legal Secretary - Commercial Property Team

Our client, a Top 100 Law firm, is seeking an experienced Legal Secretary to join their Commercial Property team. The team handles a variety of commercial property transactions, offering a diverse workload.

Core Duties:
  1. Manage files including opening, closing, archiving, and retrieval to support efficient response to legal queries.
  2. Accurately record information in the practice management system.
  3. Print and prepare pre-completion bundles for client completion.
  4. Handle pre- and post-completion documentation, paperwork, and registrations.
  5. Draft letters, documents, and forms related to property transactions.
  6. Digitize signed contracts and documents.
  7. Manage daily diaries for team members, including inputting key dates and scheduling appointments.
  8. Arrange meetings, appointments, and room bookings for clients and staff.
  9. Act as a point of contact, answering queries on behalf of clients.
  10. Prepare correspondence and documents using digital dictation and practice management system, adhering to policies.
  11. Assist clients with case updates and progress.
  12. Produce and email client invoices.
  13. Support Fee Earners with billing and credit control, liaising with accounts, and generating financial reports and invoices.
Ideal Candidate:
  • Good legal secretarial experience; property experience is not mandatory.
  • Typing speed of at least 60 words per minute.
  • Intermediate knowledge of Microsoft Word (including track changes), Outlook, Excel, PowerPoint, and research tools.
  • Knowledge of legal terminology, documentation, and processes.
  • Excellent communication skills and a personable approach to face-to-face interactions.
