Job summary

Kenton Black is seeking a Fleet Administrator in Northampton to support day-to-day management of the vehicle and plant fleet. This permanent role operates Monday to Friday, working closely with drivers, site teams, subcontractors and suppliers to keep the fleet compliant and well maintained.

The successful candidate will be highly organised, proactive and capable of handling multiple tasks in a busy operational environment, ensuring accurate records and timely maintenance across the fleet.

Qualifications

• Previous experience in an administrative or coordination role.
• Excellent organisational and time-management skills.
• Strong attention to detail and accurate record-keeping.
• Good communication and liaise with internal teams and suppliers.

Responsibilities

• Maintain records for all vehicles, plant and equipment.
• Coordinate servicing, MOTs, inspections and maintenance.
• Monitor fleet compliance with legal and company requirements.
• Maintain documentation including insurance, tax, MOTs and servicing.
• Schedule routine maintenance and follow-up remedial works.
• Liaise with garages, dealerships, hire companies and suppliers.
• Arrange vehicle and plant hire when required.
• Monitor defects and ensure they are reported and resolved.
• Maintain fleet databases and update records accordingly.
• Assist with fleet-related costs and invoices.
• Process documentation for vehicle movements, inspections and repairs.
• Support operations with fleet and transport admin.
• Keep drivers and site teams updated with fleet requirements.
• Produce regular reports on fleet status and compliance.
• Assist onboarding/offboarding of vehicles and equipment.
• Ensure vehicles and equipment are available and fit for operational use.
