Job summary

MJ Quinn in Knowsley is seeking a dedicated Fleet Administrator to join the busy Fleet team. You will support day-to-day management of the vehicle fleet and ensure accurate administration across all fleet activity in a fast-paced environment.

The role focuses on maintaining records, handling enquiries, and supporting maintenance, insurance, fuel cards and claims. You will work closely with internal teams, suppliers and external agencies to keep operations running smoothly.

Qualifications

• Previous administration experience.
• Strong Microsoft Office skills, particularly Excel, Outlook and Word.
• Experience maintaining accurate records and handling large volumes of data.
• Excellent communication skills, both written and verbal.
• Confidence communicating with colleagues, suppliers and external stakeholders.
• Strong IT skills and the ability to quickly learn new systems.
• Ability to work independently and manage a busy workload.

Responsibilities

• Maintaining accurate fleet records and documentation.
• Managing the shared Fleet inbox and responding to telephone enquiries.
• Updating vehicle information and records within internal systems.
• Supporting vehicle allocations, movements and returns.
• Raising purchase orders and processing fleet-related expenses.
• Administering vehicle fines, charges and Notices of Intended Prosecution (NIPs).
• Liaising with suppliers regarding servicing, repairs and maintenance.
• Managing fuel card administration and associated records.
• Supporting motor insurance administration, renewals and claims.
• Recording and tracking fleet incidents, vehicle damage and accident reports.
• Working closely with operational teams to provide fleet support and guidance.
