Job summary

Ubisoft Reflections is seeking an on-site Workplace Specialist to ensure the studio runs smoothly and remains a welcoming hub for staff and visitors. You will be the face of the studio, handling facilities, repairs, health and safety, and event coordination.

The role requires full-time presence on-site, five days a week, with core hours 9am–5pm (37.5 hours) and occasional flexibility between 8am–6pm as agreed.

Qualifications

• Experience in a workplace/facilities coordinator role and understanding of general office health and safety practices.
• Familiarity with facilities management and event coordination.
• Excellent communication, collaboration and time management skills.
• Exposure to health & safety practices such as housekeeping checks, fire marshalling, or first aid.
• Patience, approachability and ownership mindset.
• Familiarity with administrative tools; Jira and Miro are desirable.

Responsibilities

• Greet colleagues and external contacts as the face of the studio.
• Ensure facilities are maintained and repairs completed; oversee housekeeping and safety checks.
• Coordinate events and manage on-site services such as vending/coffee and general admin tasks.
• Support continuous improvement of studio operations and introduce efficient processes.
