Job description

This is a Full Time/Flexible Working, Permanent vacancy that will close in 20 days at 23:59 BST.

The Vacancy

We have an exciting opportunity for an experienced, full-time Facilities Coordinator to join our team at the Enfield offices, supporting Wates FM in delivering first-class maintenance services. This role serves as a positive, professional link between management and staff, ensuring effective help desk and financial administration.

About the Role

To be considered, candidates should have strong administration experience in a busy, client-driven environment, preferably with Facilities Management background and working knowledge of CAFM systems (elog systems). NVQ/SVQ in Customer Services Level 1-4 is preferred but not essential.

Essential skills include excellent written and verbal communication, high PC literacy, proficiency in Microsoft Office Suite, Concept Evolution, and other IT systems, along with the ability to multitask and prioritize effectively.

Key Responsibilities
  1. Manage workflow of all jobs through CAFM system, including logging, updating, closing, and reporting on PPM and reactive tasks, and assigning jobs to site managers and supervisors.
  2. Procure parts, materials, or contracted services, including obtaining quotes as needed.
  3. Handle financial administration, including accounts payable workflows and other housekeeping activities.
  4. Maintain compliance records and documentation using ACT, client systems, and on-site logbooks.
  5. Prioritize and manage daily demands calmly and efficiently.
