The Opportunity
Are you a proactive, highly organised, and dynamic professional ready to step beyond a traditional Executive Assistant remit and act as a pivotal Executive Support Manager in an innovative organisation?
This is an exceptional opportunity to join a fast-paced organisation as an Executive Support Manager, providing high-level operational, strategic, and administrative partnership across three key ‘C’ Level Executive leaders. Working in an environment that has recently undergone change and rapid evolution, you will act as the vital glue ensuring seamless cross-functional alignment, keeping complex workstreams perfectly synchronised, seeding Board papers, and driving delivery. Rather than a standard corporate Executive Assistant role, we need someone who blends executive support with strategic leadership, someone with a vibrant, confident personality who thrives on bringing order to complexity, leveraging modern AI productivity tools, and managing competing priorities with sound judgement and initiative.
The Company
A trusted, independent national organisation focused on new technology. Underpinned by values of integrity, innovation, meaningful impact, and collaboration, the team operates in a forward-thinking, dynamic environment committed to practical results.
Role Responsibilities
- Provide proactive diary, inbox, meeting, and workflow coordination for three Executives, anticipating pressure points and keeping high-level commitments on track.
- Act as the cross-functional linchpin across finance, operations, customer-facing initiatives, and stakeholder engagement to ensure aligned priorities and rigorous oversight.
- Lead the preparation, drafting, formatting, and seeding of high-level board papers, executive briefings, reports, and strategic presentations.
- Coordinate executive meetings, leadership sessions, and working groups; establish clear agendas, record accurate minutes, and relentlessly track action items through to completion.
- Serve as the professional, discreet first point of contact for external partners, funders, industry leaders, and internal teams.
- Manage end-to-end logistics, travel arrangements, accommodation, and event coordination efficiently, in line with organisational policy.
- Oversee routine operational administration, including expense reconciliation, purchase order management, and confidential record management.
- Leverage modern digital workflows and AI platforms (e.g., Microsoft Copilot, ChatGPT) to streamline executive communication, briefing packs, and administrative efficiency.
Skills you will need
- Proven track record as an Executive Business Partner, Senior Executive Assistant, or Business Support Lead supporting C-suite/Executive leadership.
- Experience gained within dynamic, fast-moving, or scaling environments (e.g., startups, high-growth SMEs, or organisations undergoing restructuring/investment) rather than purely rigid, large corporate structures.
- A strong, proactive personality with excellent emotional intelligence, diplomacy, and the flexibility to adapt to varying executive working styles.
- Exceptional written, verbal, and presentation drafting skills, with the ability to synthesise complex executive discussions into structured papers and trackers.
- High digital literacy and proficiency with standard productivity suites (Microsoft 365), along with an active appreciation of how modern AI tools (such as Microsoft Copilot and ChatGPT) can be leveraged to drive operational speed and quality.
- Outstanding time management, problem-solving, and organisational skills with meticulous attention to detail.
- Absolute discretion and integrity when handling sensitive, commercial, and confidential matters.
- Ability to work primarily on-site (4 days per week) with adaptability to support occasional urgent executive requirements.
- Experience operating in a chief-of-staff or operational business partner capacity, implementing new administrative systems and processes from a blank canvas.
Remuneration
A competitive salary commensurate with experience (indicative 37.5 hours per week, office-based minimum 4 days per week)
