Responsible to: Executive Director

Key Relationships: Executive Director, Chair of the International Board of Trustees, Senior Leadership Team

Contract: Permanent

Working Hours: Full time - 37.5 hours per week, flexible hours or part time also available

Special conditions: May involve out of hours work

Salary: £36,008 gross per annum

Location: Flexible UK location; ARTICLE 19’s International Office is in London

The role of Executive Assistant will act as a key business partner, providing outstanding administrative and operational support for the Executive Director (ED), Senior Leadership Team (SLT), Global Leadership Team (GLT) and International Board of Trustees in a dynamic and changing organisation.

As a natural problem solver with strong organizational skills, you will be responsible for managing important administrative deliverables to support the ED. Your day to day responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role you will be well-organized, have great time management skills and be able to act without guidance.

You will work closely with the ED and the International Board Chair to efficiently manage communications and planning for ARTICLE 19’s international experts who make up our International Board and General Assembly. Ultimately, you will contribute to the effectiveness of ARTICLE 19 by providing personalized and timely support to executive members. You will have an affinity for the non-profit sector and the desire to work in a complex, multi-cultural environment.

What you can expect in a typical day

Support to the Executive Director (ED)

  • Be the first point of contact for the ED
  • Provide administrative support to the ED
  • Develop and maintain the ED’s electronic filing and information systems
  • Manage the ED’s calendars and set up meetings
  • Prepare regular credit card and expense reports for the ED
  • Make detailed travel arrangements for the ED as required, to include arranging itineraries, visas, accommodation, cash advances, liaison with other departments and external contacts

Support to Senior Leadership Team (SLT), Global Leadership Team (GLT) and the Board

  • Act as the point of contact among the Senior Leadership and Global Leadership Team, the Board members and other external partners
  • Arrange the meetings and take minutes for the Senior Leadership Team and GLT in London, and the International Board and Board Committees
  • Manage information flow between the ED and the SLT and GLT in a timely and accurate manner
  • Draft and format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings

Board Liaison External/Internal Meetings and Events

  • Assist with the organisation of International Board and GLT meetings. This includes providing administrative support to the Board of Trustees meetings
  • Coordinating all papers and ensuring that all papers are prepared on schedule, and conform to the highest standards
  • Ensuring that each Board meeting is properly set up with catering and IT/external Comms support where necessary
  • Assist in the on-boarding of new Trustees
  • Coordinating travel and accommodation arrangements for Trustees and staff attending Board meetings
  • Assisting with the organisation of conferences, seminars and other events on behalf of ARTICLE 19. This includes arranging dates, venues, refreshments and other requirements
  • Take and produce the minutes of the Board, SLT, GLT, Staff and Sub-Committee meetings and monitor the fulfilment of all action points

What you will bring to the role

Knowledge and Skills

  • Demonstrable experience as an Executive Assistant, Personal Assistant or similar role
  • Experience of taking fast and accurate minutes
  • Excellent written communication skills, including the ability to draft documents and correspondence and accurately transcribe
  • Excellent interpersonal skills, including team working, liaison and ability to be persuasive when progress-chasing other staff, managers and Board members.
  • Good friendly verbal communication skills, including cultural sensitivity and discretion in dealing with confidential or sensitive information
  • Ability to meet deadlines under pressure and calmly manage several competing priorities
  • Good computer literacy, e.g. database and spreadsheets. Excellent computer literacy such as MS Office
  • Outstanding proven organisational and time management skills

  • Must have the right to work in the UK – we cannot apply for visas on behalf of employees who do not currently have this right.
  • Demonstrable and proactive commitment to work in a multi-cultural environment and to equal opportunities, and non-discrimination.
  • Commitment to Human rights and Article 19 values
  • Willingness for occasional overseas travel.
  • Knowledge and/or experience of working for a human rights organisation.
  • Knowledge of at least one other Article19 language, particularly French, Spanish or Portuguese.
  • PA diploma or certification is a plus
