About the Role

Capita Pensions Solutions is seeking an Executive Assistant to support the Managing Director during maternity leave from July 2025 to mid-July 2026.

This role involves working directly with the MD and closely with the Head of Governance and Regulatory Reporting to provide effective administrative support, manage high-priority activities, and optimize the MD's schedule for maximum productivity. The successful candidate will exercise initiative, make decisions proactively, and support a high-paced environment.

Key Responsibilities
  1. Manage inboxes, monitor emails, delegate, and respond as appropriate.
  2. Handle diary management for the MD, including last-minute UK travel arrangements.
  3. Arrange, prepare, and minute senior meetings.
  4. Prepare regulated documents and SMCR documentation.
  5. Assist in assembling quarterly CPSL Board papers and monthly leadership reports.
  6. Organize internal and external meetings, ensuring access for external clients at the Paddington office.
  7. Review and process CCNs and contracts within designated timeframes.
  8. Liaise with the Executive team, clients, and suppliers as needed.
  9. Collaborate with other Executive Assistants to provide support when required.
  10. Address queries related to the MD and manage miscellaneous issues.
Qualifications and Skills
Essential
  • Proven experience supporting senior-level executives, preferably in FCA-regulated environments.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office.
  • Strong organizational skills and attention to detail.
  • Discretion and ability to influence others.
  • Collaborative working approach and excellent communication at all levels.
  • Self-motivated with a focus on quality.
Desirable
  • Experience in complex, matrix organizations.
  • Experience in regulated businesses.
