Estates Compliance Administrator

We are recruiting for a Compliance Administrator to join our team.

You will support the Estates Compliance Coordinator to provide a competent and reliable compliance and business administration and secretarial service for Estates.

Support the data entry to the quality assurance software systems, generate compliance assurance reports and support the reporting for the compliance framework and the associated safety meetings. Other duties will include arranging meetings, liaising with other departments, maintaining records, data entry, filing. Deliver quality and highly organised functions to support the team. With meticulous attention to detail, and the ability to work unsupervised and using own initiative, liaise at all levels of our organisation and with external stakeholders and patients, carers and families and provide excellent customer service for those the team supports.

Main duties of the job
  • Provide secretarial support to the Estates and Facilities safety group
  • Provide administration support as directed by the Estates Compliance Coordinator
  • Attend and participate in team and other meetings
  • Arrange meetings, take minutes and distribute agendas and reports prior to safety and operational meetings
  • Collate weekly and monthly reports as and when directed by the Estates Compliance Coordinator, ensuring system across the team includes electronic filing, diary management, and computerised databases with relevant levels of access or restrictions
  • Populate and update systems and databases required for service delivery, reporting any issues to the Estates Compliance Coordinator
  • Able to deal with barriers to understanding
  • Provide and receive complex information, exchange information, and communicate complicated information to staff from other departments and external contacts
  • Deal with complex information in an appropriate manner that meets the Trust’s requirements
  • Coordinate regular and establish meetings, providing effective administration including booking venues and notifying members, along with appropriate dissemination of all relevant documentation
  • Organise diary management for the safety and operational groups
  • Keep action trackers and training information up to date
  • Maintain a flexible attitude to duties

Qualifications
  • GCSE English and Maths level 4 or C or above, or a good standard of general education
  • IT skills and knowledge

  • Experience of working in a constantly changing environment without direct supervision
  • RSA 3 Typing or Equivalent experience
  • Experience of working within the NHS
  • Experience of working within an Estates and Facilities Department.
