Job Overview
Maple Walk is a warm, vibrant, and successful coeducational independent prep school in North West London, with 170 children on roll aged 4 to 11. The school is housed in a bespoke, eco-friendly building.
Working with the School Office Manager, the School Office Assistant will be responsible for undertaking administrative and practical tasks that support the smooth running of the school.

Qualifications and Experience
- Good written and verbal English
- Confident in dealing with people both in person and on the telephone
- Ability to take initiative and strong organisational skills
- Proactive approach to daily tasks
- Confident in administering basic first aid
- Experience of working in a school environment (desirable)
- Proficient with email, spreadsheets, and document creation
- Experience working with children (desirable)
- Willingness to undertake training
Required Skills
- Proficiency in Google Mail, Docs, Sheets, Word, Excel, and design tools like Canva
- Experience creating and posting digital content
- First Aid certification
Organisation
- Manage reception duties, answer routine calls and face-to-face enquiries, including complex and sensitive interactions with parents and visitors
- Handle visitor checks and paperwork following NMS guidelines
- Assist with pupil welfare duties, including First Aid and liaising with families and staff
- Draft and send parent communications regarding events, notifications, and health alerts, as discussed with the School Office Manager
- Oversee the production and distribution of the weekly school newsletter
- Assist with maintaining prospective parent and pupil information
- Help organise school trips, outings, and events
- Support the management of Morning and Afternoon Clubs, including After School and Late Care
- Manage parent bookings for weekend and holiday care of school guinea pigs
- Supervise, train, and develop staff as appropriate, sharing skills from training courses
- Conduct research and contact suppliers/services proactively
- Assist with marketing, school promotion, and website updates
Administrative Support
- Provide clerical support such as photocopying, filing, emailing, and completing forms
- Perform word processing, editing, and IT tasks including newsletters and website updates
- Support other staff with administrative and organisational tasks
- Maintain stationery and medical supplies
- Take notes/minutes of meetings, ensuring confidentiality
- Sort and distribute mail
- Assist with After School/Club/Late Care, monitoring student pick-up
- Support data management and ensure compliance with Data Protection legislation
- Manage pupil and staff data, including medical information and email accounts
- Review and maintain data in accordance with retention policies
- Perform other duties as assigned by the School Office Manager and/or Head Teacher
