Job description

To provide confidential secretarial and administrative support to the Divisional Management Team, namely the Associate Medical Director (AMD), Head of Nursing (HoN) and Associate Director of Operations (ADO).

Responsibilities
  • Management of diary appointments and provision of supporting documentation.
  • Organisation and arrangement of meetings.
  • Organise, administer and act as secretary to committee meetings for and on behalf of the ADO, AMD and HoN – including preparation and circulation of agendas and papers, attendance at meetings, minute taking and action logs.
  • Act as point of enquiry for the divisional management team.
  • Receive and deal with incoming calls as appropriate for and on behalf of the divisional management team.
  • Liaise with internal and external colleagues for and on behalf of the divisional management team.
  • Open and action e‑mails as required.
  • Organise travel arrangements as necessary.
  • Undertake audio‑typing and copy‑typing as required.
  • Produce correspondence including letters, reports and committee papers.
  • Prepare slides and spreadsheets using Microsoft PowerPoint and Excel.
  • Liaise with all levels of staff within the organisation and with external agencies on behalf of the trust in a representative role.
  • Act as central point of contact for receiving, allocating and responding to complaints, serious incidents and root‑cause analysis, including resulting action plans.
  • Support the divisional management team to ensure staff they line‑manage complete annual and statutory training.
  • Work closely with the Human Resources Department on recruitment, termination and other staffing processes.
  • Order goods and services for the departments and staff line‑managed by the divisional management team.
  • Maintain knowledge and skills in office technology and undertake training as necessary.
  • Participate in the Trust’s Personal Development Review programme.
  • Provide cross‑cover for PA colleagues within the Patients Services and Patient Support Services divisions as required.
