We are currently seeking a Company Secretarial Assistant for a 1-year fixed-term contract. This role will support the Company Secretarial team with a varied workload, ensuring the smooth execution and maintenance of legal and governance documents.

Key Responsibilities:

  • Manage the document execution process for contracts, deeds, licences, leases, and other legal agreements, ensuring all approvals are in place.
  • File executed Board Minutes, Resolutions, Bank Mandates, and other legal documents in digital folders.
  • Process documents for notarisation, consularisation, and apostille.
  • Handle purchase orders and invoices related to legal services.
  • Create and maintain structure charts for legal entities.
  • Support ad-hoc company secretarial duties, including annual compliance work, confirmation statements, and drafting of board minutes.
  • Assist with the maintenance of company records, statutory changes, and document management in Diligent and SharePoint.
  • Provide KYC/DD/AML documentation as requested.

Key Criteria:

  • Previous experience working in a company secretarial team or legal environment (2+ years preferred).
  • Strong understanding of document execution, company compliance, and legal governance.
  • Excellent attention to detail and ability to work under pressure.
  • Proficient in Microsoft Office (Excel, Word, SharePoint) and document management systems.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong communication skills and confidence in dealing with senior executives.
  • Experience with Diligent or other company secretarial software is a plus (training provided).
  • Hours: 35 hours per week
  • Contract: 1-Year Fixed Term Contract
  • Location: Hybrid (Croydon, with two days in the office and three days remote)
