Due to planned growth, my client is seeking a Commercial Property Paralegal/Legal Assistant to join their well established office in Oxted, Surrey.

This is a busy, reputable, and long‑standing local firm based in the centre of Oxted, supporting a wide range of private individuals, SMEs, property developers and commercial clients. The firm specialises in Residential Conveyancing, Commercial Property, Business Law, Wills, LPAs and Probate, and has built an excellent reputation for high‑quality, personal service.

The Role

You will work closely with the Head of Department to support and progress a busy Commercial Property caseload, including acquisitions and disposals, leases, licences, development matters, and general commercial transactions.

Your role will include a mix of legal support, administration, client communication, and matter progression. You will be trusted with responsibility and encouraged to develop your technical knowledge.

Key Responsibilities
  • Assisting fee earners with all administrative aspects of commercial property transactions
  • Preparing initial contract packs and collating supporting documentation
  • Completing legal forms including AP1s, TR1s, SDLT forms, and title documentation
  • Using the Land Registry Portal to lodge applications, submit registrations, order title documents and conduct searches
  • Drafting and preparing standard letters, reports, and routine correspondence
  • Submitting searches via online portals and reviewing initial results
  • Liaising with clients, solicitors, agents, lenders, mortgage brokers, surveyors and local authorities to progress matters efficiently
  • Managing key dates and ensuring internal systems are updated accurately
  • Assisting with enquiries, gathering information, and helping prepare replies under supervision
  • Ensuring all compliance, AML and due diligence requirements are met
  • Opening and closing files, maintaining orderly file structures, and supporting billing processes
Key Skills & Experience Required
  • Minimum 1 year of experience within a Residential or Commercial Conveyancing department - candidates without relevant property experience cannot be considered
  • Good understanding of the Commercial or Residential Conveyancing process, from instruction through to completion
  • Experience using the Land Registry Portal, including submitting applications and ordering documents
  • Familiarity with online search portals and completing property‑related forms
  • Strong communication skills and confidence liaising with clients and third parties
  • Excellent attention to detail and ability to follow processes accurately
  • A proactive, organised, and self‑motivated approach
  • Strong administrative skills with the ability to manage multiple matters simultaneously
  • Competent user of Microsoft Office and case management systems
