Job description

The post holder will provide comprehensive technical, administrative, and coordination support across the Estates & Facilities Directorate, with a primary focus on healthcare planning, space management, project delivery, and the effective day‑to‑day running of the administration function.

They will manage the allocation and supervision of administrative work within the directorate, coordinate space utilisation and decant/relocation programmes, maintain accurate asset records, support site‑wide audits, and contribute to service improvement projects.

Working closely with the Senior Management Team, the post holder will ensure that services are delivered efficiently, records are maintained accurately, and communication is clear across all stakeholders.

Responsibilities
  • Provide a full, high‑quality administrative service to the Estates & Facilities and Capital team, taking the lead for identified areas and overseeing day‑to‑day performance of the administration tasks.
  • Supervise and allocate work across the administrative function, ensuring appropriate skill mix, quality assurance, and timely delivery of outputs.
  • Develop and implement systems, processes, and policies to support efficient allocation, monitoring, and delivery of administrative tasks.
  • Ensure helpdesk functions are supported, contractor sign‑in/out, and responding to enquiries via telephone and email.
  • Establish and prioritise an annual work plan for areas of responsibility, contributing to the delivery of team objectives and Trust priorities.
