Job description

We are recruiting on behalf of our client in the Kidlington area for an experienced Business Support Officer. This is a full time role 37.5 hours per week, Monday to Friday and is hybrid in nature - 3 days in the office and 2 days working from home.

Role Summary

The role provides comprehensive administrative and project support to the Chief Executives Office, the Executive Support Team, and the wider Communications, Strategy and Insight Directorate. This includes front-of-house responsibilities, meeting coordination, correspondence management, and forward planning.

Key Responsibilities

  • Manage the Meetings Forward Plan calendar with a 12-month rolling view.
  • Coordinate invitations and ensure timely distribution of key meeting materials.
  • Maintain alignment with committee schedules (e.g., SLT, ELT, Informal Cabinet).
  • Ensure timely receipt and preparation of Leadership Team papers.
  • Act as the first point of contact for the Chief Executives Office.
  • Handle enquiries across email, post, and phone with professionalism and efficiency.
  • Organise and support key meetings, including venue and catering arrangements.
  • Provide routine office support and maintain internal admin tools (e.g., contact lists, structure charts).
  • Support intranet/internet content updates and provide coverage during staff absence.
  • Support the Policy and Communications teams with administrative and project-based tasks.
  • Maintain databases, directories, and briefing materials.
  • Assist in organising directorate events and meetings, including logistics and documentation.
  • Undertake financial admin (e.g., purchasing).
  • Develop systems and processes to enhance office efficiency.
