Job summary

Kent County Council is seeking a proactive Business Support Assistant to join our Maidstone team. In this front-facing role you’ll greet families, signpost services, and support Family Hub Workers, while also keeping admin systems up to date.

You’ll handle rooms, health and safety checks, data entry in Core+ attendance, safeguarding awareness, and use Microsoft Office to keep operations running smoothly. We offer 28 days leave, pension, and training as part of a supportive, inclusive culture.

Qualifications

  • Level 2 qualification or equivalent practical experience.
  • Experience in admin and customer service environments.
  • Awareness of safeguarding, data protection and health & safety practices.

Responsibilities

  • Act as the first point of contact for families, staff and partners.
  • Support day-to-day running of hubs, including opening/closing and safety checks.
  • Manage sensitive information and coordinate meetings.
  • Use Microsoft Office and other IT tools to keep activities on track.
  • Book and prepare rooms for meetings and activities, including refreshments.
  • Conduct weekly fire alarm tests and log results.
  • Support the Family Hub's digital and virtual offer to families.
  • Capture and update attendance/registration data in Core+ and similar systems.

Job description

We're on the lookout for a proactive and people-focused Business Support Assistant to join our Maidstone team. This is a front-facing role where you'll be the welcoming face of our hubs-greeting families, signposting services, and supporting our Family Hub Workers. You'll also play a vital role behind the scenes, keeping things running smoothly with your admin skills, organisational flair, and calm, can-do attitude.

  • Acting as the first point of contact for families, staff, and partners
  • Supporting the day-to-day running of our hubs, including opening/closing and health & safety checks
  • Managing sensitive information and coordinating meetings
  • Using Microsoft Office and other IT tools to keep everything on track
  • Helping to create a warm, inclusive, and efficient environment for everyone who walks through our doors
  • Managing social media posts and digital engagement to promote Family Hub services
  • Handling compliments, complaints, and occasional cash transactions securely
  • Booking and preparing rooms for meetings and activities, including refreshments
  • Conducting weekly fire alarm tests and logging results
  • Supporting the Family Hub's digital and virtual offer to families
  • Capturing and updating data in systems like Core+ and ensuring accuracy in attendance and registration records, This post is considered by KCC to be a customer-facing position. The Council therefore has a statutory duty under Part 7 of the Immigration Act (2016) to ensure that post holders have a command of spoken English/Welsh sufficient for the effective performance of the job requirements. The appropriate standards are set out in the Job Description/Person Specification.

You’ll need a Level 2 qualification or equivalent practical experience, and a willingness to learn and grow in the Family Hubs environment.
