Bid Coordinator Job in London supporting high-profile hospitality and design projects within a creative, design-led studio. This role offers exposure to major client pitches, close collaboration with senior stakeholders and the opportunity to play a key role in winning new work.

This international design practice delivers distinctive interior architecture and design solutions across hospitality, F&B, spa and large-scale hotel projects. With a strong emphasis on collaboration, quality and integrated design thinking, the studio supports a global client base and offers a professional, fast-paced environment with clear development opportunities.

Role & Responsibilities
  • Log new leads, RFIs, RFPs and PQQs into the CRM system and maintain accurate records
  • Monitor the business development inbox and distribute enquiries internally in a timely manner
  • Coordinate RFP and proposal responses by liaising with creative, project and senior stakeholders
  • Schedule internal meetings, gather content and ensure submission deadlines are met
  • Identify and flag non-standard RFP terms and coordinate legal input where required
  • Compile proposal content including company information, team CVs, case studies and visuals
  • Format and finalise proposals and presentations using Microsoft Office and PowerPoint templates
  • Track proposal progress and maintain organised submission records
  • Support the preparation of tailored client presentations and pitch documents
  • Maintain and update portfolio materials, CVs and case studies alongside Marketing
  • Assist with managing the image library and marketing assets
  • Maintain accurate CRM data including leads, contacts and opportunities
  • Produce pipeline and opportunity reports for business development meetings
  • Review and update operator and stakeholder distribution lists
Required Skills & Experience
  • 1–5 years’ experience in a bid coordination, proposals or business development support role
  • Excellent organisational and time management skills
  • Strong written and verbal communication skills
  • Proficient in Microsoft Word, Excel, Outlook and PowerPoint
  • Basic knowledge of Adobe InDesign and Acrobat preferred
  • Familiarity with Salesforce or similar CRM systems advantageous but not essential
  • Ability to manage multiple deadlines and work effectively under pressure
  • Right to work in the UK
